Job Description

Key Accountabilities:

• Coordinate the administration of internal learning and development activities, both virtual and face-to-face.

• Manage participant nominations, enrolments, invitations, confirmations, and learning communications.

• Coordinate training logistics, including venue bookings, meeting invitations, catering, and learning materials.

• Ensure learning activities are accurately scheduled and communicated to participants and stakeholders.

• Welcome new starters by providing timely information about available L&TD services and resources.

• Prepare and submit learning activity information to Learning@Stantec for upload to the Learning Management System (LMS).

• Generate and distribute reports on mandatory learning completion and other learning metrics as required.

• Coordinate the distribution and collection of course evaluations.

• Compile evaluation data and prepare summary reports for the Learning & Development team.

• Identify opportunities to improve learning administration processes and participant experience.

• Respond to learning-related enquiries from participants, leaders, and other stakeholders in a timely and professional manner.

• Build effective working relationships with internal stakeholders to support the successful delivery of learning initiatives.

• Provide administrative support to the Learning & Development team as required.

Skills & Specifications:

• Qualifications & Experience

o 3+ years relevant experience in learning and development, HR or similar environments (desirable).

o Demonstrated experience delivering excellent administration.

• Skills

o Strong communication and customer service skills, with a positive, proactive, and solutions-focused approach.

o Excellent organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.

o High level of attention to detail and accuracy.

o Proficient in Microsoft Office applications, particularly Outlook, Excel, Word, and Teams.

o Strong interpersonal skills with the ability to build effective working relationships with a range of stakeholders.

o Ability to work collaboratively within a team environment while also operating independently when required.

o Demonstrates initiative and a proactive approach to identifying opportunities to support the business and improve processes.

o Adaptable and responsive, with the ability to reprioritise work and manage unexpected tasks in a fast-paced environment.

o Strong problem-solving skills and the ability to exercise sound judgement in day-to-day decision-making.
