Job Objective:
Assists leadership in coordination of daily operation of department. Trains new employees and assists leadership in department scheduling. Maintains stocks and orders necessary supplies and equipment, using the Materials Management Information System for automated purchase requisitions. Works on site providing customer service in various department service entities and assures supply availability and inventory integrity for organization. Education:

Essential Responsibilities
1. Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
2. Coordinates daily activities and assignments of SPD Staff; assures departments are properly stocked and staff are adhering to hospital protocols.
3. Ensures a fair and accurate work schedule is posted for staff in advance as directed; assures any changes are properly communicated and acknowledged by staff.
4. Trains new staff members and assures staff meet regulatory requirements.
5. Assists with inventory integrity (orders, issues, par levels and returns) for INV SPD and Supply Stations.
6. Creates IS help desk tickets, works with IT to resolve issues; runs reports, monitors usage and makes changes as necessary.
7. Coordinates new department set up for supply stations.
8. Works with Purchasing Department and Primary distributor to assure product availability.
9. Completes special projects at the request of leadership.
10. Sets up and maintains automated supply stations; understands objective of Advanced Shipping Notice (ASN), Min/Max, and count features; adjusts levels on an ongoing basis to maintain optimum inventory levels.
11. Rotates stock daily and monitors for outdates monthly; refills assigned supply stations verifying current and refill amounts; adjusts ASN quantities as needed.
12. Designates items for Blackout and inventories on a daily basis.
13. Conducts a daily spot check inventory for each supply station; if stocked out refills from Inventory SPD or CS.
14. Labels bins and moves items as necessary to maintain adequate inventory levels and locate like-items together.
15. Runs and analyzes supply station reports to maintain appropriate supply levels as directed by leadership.
16. Acts to notify Manager, Lead-Supply Distribution/Inventory Clerk-SPD of any changes that need to be made in the Workday or the supply stations.
17. Interfaces with department staff on an ongoing basis concerning supply levels.
18. Enters requisitions into Workday for non-stock supplies using reports or station refill print out.
19. Opens Microsoft Outlook at least once daily to checks email inbox, meeting and events notifications; responds in a timely and professional manner.
20. Reviews unfill reports daily and determines from release date if there is a need to contact Buyer for substitute / or refill from INV SPD or CS.
21. Rotates stock to ensure use of items prior to outdate to ensure cost effectiveness handling of supplies in the supply station.
22. Processes credits due to over/under shipment or wrong item shipped within appropriate timeframe and follows up until product is returned and credit request is complete.
23. Properly maintains a delivery log for all deliveries (excluding JIT stock and supplies residing in Intellishelf) utilizing a Workday handheld or a written delivery log as instructed by leadership; obtains signatures upon delivery, prioritizes deliveries; all refrigerated/frozen and priority shipped items are to be delivered on same day as received.
24. Issues all supplies from SPD Inventory to the proper deliver to location and cost center, verifying correct Unit of Measure.
25. Develops and maintains a working relationship with vendor representatives to facilitate new product acquisition, product code changes, and product upgrades; enforces hospital policy for the introduction of new products; checks on status of orders and delivery dates with vendors via phone and e-mail, as appropriate.
26. Assists in removing stock affected by product recalls and notifications and properly documents actions to obtain credits or product replacements.
27. Performs other duties as assigned.
