Under the general direction of the Registration Services Supervisor, Manager, and/or Director, functions in a lead capacity and performs a variety of complex duties for the registration and basic scheduling skills.

I. Major Responsibilities:
1. Assists supervisor in assuring that assigned employees are provided with appropriate resources, materials and methods. Provides recommendations to the manager or supervisor for the most efficient utilization of assigned personnel. Relays work instruction from the supervisor.
2. Responsible for new hire unit level orientation and training.
3. Coordinates the provision of multiple services to patients. Processes updates and corrections to patient insurance and demographic information.
4. Schedules and/or arrives Radiology, Lab and basic ancillary service appointments. Coordinates the provision of multiple services to patients. Processes updates and corrections to patient insurance and demographic information.
5. Obtains and verifies patient insurance coverage and follows guidelines established by insurers to ensure that pre-authorization, pre-certification, and physician referrals for treatment are obtained prior to patient visits. Follows up to correct discrepancies as required.
6. Provides patient with standard information regarding their personal preparation for scheduled procedures and services. Mails patient information packets to patients.
7. Transcription of paper orders when applicable.
8. Obtains patient and witness signatures for all paperwork, including but not limited to Consent to Treat, HIPAA, Privacy, Blood Free Waiver, Medicare Rights, Important Message for Medicare, Patient Rights, etc.
9. Assesses patients’ financial needs and directs accordingly to financial counseling, and refers to appropriate person or area.
10. Provides a variety of related clerical duties, such as retrieving medical and other records, faxing, collating, typing, transcribing, taking and relaying messages, etc. Receives, and transfers patient phone calls to appropriate personnel and provider.
11. Maintains accurate and timely records, logs, charges, files and related information as required.
12. Reviews Workqueues lists to ensure accurate and timely billing.
13. Recommends improvements in systems and procedures.
14. Collection of patient liabilities including deductibles, copays, coinsurances, self-pay payments, cosmetic procedure payments, and patient balances as appropriate, prior to or on the date of service.
15. Manages all calls related to expired patients. Tasks include, but are not limited to, communication with NEOB, funeral homes, medical examiner and pathology for autopsy coordination.
16. Secures patient valuables in hospital safe according to policy/procedure.
17. Completes death certificates according to policy/procedure and updates the expired patient log as needed.
18. Monitors and maintains Patient Access and Revenue Cycle Work queues.

Standard Lead Level Responsibilities:
1. Distributes and monitors the flow of work for an assigned group of employees. Provides training and technical assistance to employees within the assigned work area. Assists supervisor in assuring that assigned employees are provided with appropriate resources, materials, and methods. Provides recommendations to manager or supervisor for the most efficient utilization of assigned personnel. Relays work instruction from the supervisor.
2. Complies with established departmental policies, procedures, and objectives.
3. Respects diverse views and approaches. Demonstrates Standards of Respect and contributes to creating and maintaining an environment of professionalism, tolerance, civility and acceptance toward all employees, patients and visitors.
4. Attends variety of meetings, conferences, and seminars as required or directed.
5. Demonstrates use of quality improvement in daily operations.
6. Complies with all health and safety regulations and requirements.
7. Maintains, regular, reliable, and predictable attendance.
8. Performs other similar and related duties as required or directed.

II. Position Qualifications:

License/Certification/Education:
Required:
1. High School Diploma.

Preferred:
1. Associate’s Degree in Business or Healthcare related field.

Experience/Skill:
Required:
1. Minimum of 2 years’ experience in data entry in a medical facility, health insurance company, or related area required.
2. Computer skills and ability to use specialized applications software and computers systems for patient registration and scheduling.
3. Strong communication and customer service skills for various internal and external customers.
4. Proficient data entry skills.
5. Ability to work in high volume, team-oriented environment.
6. Demonstrated knowledge of medical terminology.
7. Holiday and/or weekend shift work, as well as after-hours coverage as required.

Preferred:
1. Previous experience with insurance verification and/or authorization and/or scheduling and/or phone customer services strongly preferred.
2. Medical Assistant certification preferred (for knowledge base, no clinical duties).
3. Bilingual speaking, reading and writing skills.

Unless certification is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.

Department-specific competencies, including age-specific competencies, and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with the position incumbents.

III. Physical Demands and Environmental Conditions:

Work is considered moderate. Position requires work indoors hospital outpatient and Emergency Department environment. Holiday and/or weekend shift work, as well as after-hours coverage as required.

The position requires working several holidays—potentially every other holiday—and availability at least one or two Saturdays per month 7:00am-3:00pm, as needed. During the initial 5–6 weeks, candidates must be available to train on both first and second shifts. EPIC training will take place in Worcester for the first two weeks, from 8:00 AM to 4:00 PM.

This lead role is primarily scheduled for 9:30 AM to 6:00 PM, but flexibility is essential to support other Central Registration shifts, including 7:00 AM to 4:30 PM and 6:00 AM to 2:30 PM Monday through Friday, based on departmental needs. Work hours may vary slightly depending on operational needs.

Additional requirement is to assist with staff scheduling, responsible for workqueue's and available for on-call hours, as needed.

Prior EPIC experience is preferred.
