WHY THIS ROLE IS IMPORTANT FOR US

The Lead Product Operations Coordinator is a critical execution partner supporting multiple members of the Product Management Senior Leadership Team, ensuring the team’s planning rhythms, readouts, artifacts, and follow-through run smoothly and consistently.

This role matters because leadership effectiveness depends on operational clarity with well-run rituals and reliable action tracking so leaders can focus on making decisions and moving the organization forward.

You will help ensure that:

• Leadership rituals and planning cycles are scheduled and run with discipline with clear agendas, well-prepared materials, and consistent outputs.

• Decisions and actions don’t get lost, follow-ups are tracked, owners are clear, and escalations happen early.

You will work directly with the Product Management Senior Leadership Team and collaborate closely with Product, Design, Engineering, and Strategic Product Enablement to coordinate planning, prepare materials, and post-meeting action management. You’ll own the day-to-day operational coordination (scheduling, inputs, pre-reads, and follow-ups) to keep the team’s operating rhythms on track and escalate when coordination is required.

WHAT YOU WILL BE RESPONSIBLE FOR

Leadership Rituals & Cadence Operations

• Run day-to-day coordination for key leadership meetings and rituals: agendas, pre-reads, attendee alignment, and logistics.

• Drive preparation of materials by gathering inputs, consolidating updates, and ensuring the story is clear and consistent across teams.

• Maintain action and decision follow-through: capture outputs, track owners and dates, and keep a clean, accessible record for the leadership team.

Reporting, Readouts & Visibility

• Coordinate with Strategic Product Enablement to align Product Calendar milestones, pre-read expectations, and leadership readouts, so communications and change activities use consistent materials, dates, and messaging.

• Maintain files, templates, and artifacts so leaders can rely on a consistent, accessible source of truth for leadership forums and Product Development Lifecycle touchpoints.

Planning & Cross-Team Coordination

• Coordinate planning and timelines across product domains and key partners, ensuring teams deliver what’s needed for leadership forums on time.

• Keep core leadership calendars and operating rhythms coherent across time zones by coordinating schedules, pre-reads, and follow-ups for recurring meetings and rituals.

Process, Tools & Continuous Improvement

• Maintain fit-for-purpose templates, checklists, and documentation that make it easier for teams to contribute consistent inputs to leadership rituals.

• Make pragmatic improvements to rituals and artifacts based on feedback and observed friction by standardizing what works, tightening templates, and implementing agreed changes in coordination with Strategic Product Enablement.

• Provide support on moderately complex issues (e.g., unclear inputs, conflicting timelines, reporting gaps) and escalate when alignment or decisions are needed.

WHAT WE VALUE

Core experience

• 5–7+ years of experience in business operations, program coordination, or leadership administration, supporting senior teams in enterprise environments.

• Extensive experience supporting senior lead teams with meeting prep and materials, including agendas, pre-reads, and concise briefs, while capturing outcomes and keeping clear action and decision logs.
