Overview

Under direct supervision, performs general clerical work and messenger duties.

Responsibilities

  1. Describe responsibility:Establishes and maintains positive relationships with patients, visitors, andother employees. Interacts professionally, courteously, andappropriately with patients, visitors and other employees. Behaves in amanner consistent with maintaining and furthering a positive publicperception of BronxCare Health System and its employees.
  2. Describe responsibility:Contributes to and participates in the Performance/Quality Improvementactivities of the assigned department. Contribution and participationincludes data collection, analysis, implementation of and compliancewith risk management and claims activities, support of and participationin Continuous Quality Improvement (CQI) teams, consistent adherenceto the specific rules and regulations of the Bronx-Care Health System (a) Safety and Security Policies, (b) Risk Management: Incidentand Occurrence Reporting, (c) Infection Control Policies andProcedures and (d) Patient and Customer Service.
  3. Describe responsibility:Performs duties related to tracking, retrieving, researching and reconciling medical records received within the Health Information Management Department. Investigate and follow-up on charts not received in Health Information Management through interaction with Nurse Managers and Unit Clerks. Submits daily and weekly stats of missing charts to immediate Supervisor.
  4. Describe responsibility:Answers telephone, takes and relays messages, acts as Information Clerk and Receptionist.
  5. Describe responsibility:Performs a variety of clerical tasks, in conjunction with administrative services staff, where little knowledge of subject matter is required, suchas, assisting with distribution of daily work assignments, payroll checks, etc.
  6. Describe responsibility:Assists in preparing records and other data for transmittal to other hospital departments.
  7. Describe responsibility:Preps and Scans documents into the electronic document management system format utilizing established process in a timely manner as per Health Information Management Department Policy, to ensure that information becomes available timely for patient care.
  8. Describe responsibility:Corrects and completes daily errors by performing quality assurance on all assign work.
  9. Describe responsibility:Performs quality control to ensure the integrity, completeness and legibility of scanned patient health records. Validates the paper record to scanned images to ensure a complete and legible record.
  10. Describe responsibility:Assumes the primary responsibility for hardware tests to insure proper feeding of scanner sheets. Maintains a daily event log of any imperfection during scanning and indexing activities. Provides event log to the immediate Supervisor.
  11. Describe responsibility:Inspects the equipment, structures, or materials to identify the cause of errors or other problems or defects. Assumes responsibility of maintaining an inventory of supplies and spare parts for the scanner. Place scanner maintenance calls.
  12. Describe responsibility:Submits all productivity reports daily to immediate Supervisor.
  13. Describe responsibility:Collaborates with immediate Supervisor on investigating and possible merge of potential duplicate record pairs.
  14. Describe responsibility:Picks-up, sorts and distributes mail, letters, messages, packages,records, interoffice memoranda and other items and delivers them tovarious offices and departments of the hospital as needed.
  15. Describe responsibility:Oversees Medical Records warehouse management. Ensure charts arriving at the Warehouse are manifested and boxed according to HIM Policy and Procedures. Manifest and purge warehouse medical records boxes for destruction.
  16. Describe responsibility:Maintains and purges files for record destruction as per Health Information Management Department Policy.
  17. Describe responsibility:Messenger: Picks-up, sorts and distributes mail, letters, messages, packages,records, interoffice memoranda and other items and delivers them tovarious offices and departments of the hospital as required.
  18. Describe responsibility:Coordinate transportation to Warehouse and Retrieve Medical Records from Warehouse as requested by HIM Management.
  19. Describe responsibility:Collects outgoing mail from departments at routinely established periods during each day.
  20. Describe responsibility:Is flexible and undertakes a variety of miscellaneous duties and performs other job functions as assigned.
