Job Description

– LEAD MAIL CLERK

The Team Lead is responsible in assisting the mail room Supervisor with employees and all phases of mail production and distribution within the instructed guidelines and timeframes of the Supervisor. This includes employee training, answering interoffice inquiries, generating and maintaining various reports, sorting research, delivering mail to designated mail stops and assisting with mail runs. Other duties as assigned by mail room supervisor.


ESSENTIAL DUTIES/RESPONSIBILITIES

  • Performs all the duties of mail clerk, driver positions and serves as backup for mail runs.
  • Assists in supervision and ensure compliance and manage the daily activities of team thought managing the daily activity of the team.
  • Effectively manage productivity demand for team through coaching, feedback and communication with mail room Supervisor.
  • Provides quality customer service, including interacting with customers, answering customer enquiries, and effectively handling customer complaints
  • Assists in completing mail delivery and pick up at the Campus and Highwoods building using company vehicle.
  • Assist Supervisor with training, prioritize, organize and assign work to others in order to maximize delivery of services
  • Generates and shares comprehensive, detailed reports and audits about team performance, mission-related objectives, and deadlines with mail room Supervisor.
  • Receives all incoming shipments and mail, checks the physical condition, quantity, address
  • Maintain confidentiality of account information at all times
  • Receives all incoming shipments and mail, checking the physical condition, quality, address, name and routing symbol before signing for any shipment. Making sure that any physical damage is noted on the accompanying paperwork and initiated by the driver.
  • Assures that there is a signature for all accountable packages that leave the mailroom.
  • Use x-ray machine to scan all incoming packages and identify any suspicious packages.
  • Notifies the Operations Center, ASO-30 immediately if there are any suspicious or threatening page is identified.
  • Prepares Fed Ex and UPS packages for shipping. Assures that the outgoing mail and the Fed Ex packages are picked up by the close of business.
  • Assists FAA personnel with mail or shipping and receiving. Assures that all packages prepared by FAA personnel are processed properly and sent to the correct private carrier.
  • Adjusts work assignments when scheduled BDI personnel is absent.
  • Assures that delivery and pick upi schedules are followed.
  • Makes sure that all areas under BDI responsibility are neat and organized and tha all equipment is functioning properly.
  • Maintains the security of the mailroom at all times. Accounts for all carts and assures that all doors are locked at the end of the day.
  • Maintain an accurate inventory of each size of paper used at each copy machine location.

REQUIRED EDUCATION AND EXPERIENCE

High School diploma

Prior leadership skills a plus

Preferred experience in UPS & Federal Express shipping and procedures

Preferred knowledge of the U.S. Postal regulation in the process of dealing with incoming, outgoing, certified, registered and express mail.

Strong Oral and Written Communication Skills

Excellent custome service skills and experience

Must have basic typing skills

PREFERRED EDUCATION AND EXPERIENCE

High School diploma

Strong organizational and leadership skills to give the team direction

ADDITIONAL ELIGIBILITY QUALIFICATIONS

Prior leadership skills a plus

Excellent customer service skills

Strong organizational skills to give the team direction

Use initiative and sound judgment to solve operational problems within established guidelines

Must be able to pass background check

Must be able to pass a DMV background check

Must have a valid driver’s license and safe driving record

Must be experienced in Microsoft Office

Experienced with fax machine, scanners and copiers

PHYSICAL DEMANDS

Must be able to lift 35 lbs

Must be able to work on routine and repetitive tasks for long periods with minimum supervision
