Job Description

Be the one who makes a difference!

At Vertex Education we are a team of high achievers, courageous leaders, and passionate believers in changing lives through education. As a purpose-led education services provider, our mission is destined to benefit many and yet it starts with just one person inspired to work together with us to make a memorable and meaningful difference for our clients, schools, students, and communities. Be the one who makes a difference—with us.

We are seeking a Lead, Front Office Enablement to lead the team that supports campus Registrars across Arizona, Texas, South Carolina, and Nevada. Reporting to the Head of Ops Enablement & Transformation, you manage six coordinators: three Arizona Registrar Enablement Coordinators and three combined Registrar Enablement & Coverage Coordinators in Nevada, Texas, and South Carolina. You own day-to-day delivery of training, standards, quality assurance, internal audits, coverage, and process improvement.

Registrars report to campus leadership, not to this team. Your team's authority comes from expertise, standards, and service. You will partner closely with principals, operations leaders, and network departments to ensure findings are acted on and Registrars get the support they need. While the initial scope is Registrars, this role is titled for the broader front office, and may extend to other front office roles as the function matures.

Essential Functions:

Team Leadership & Operations:

  • Coach, develop, and evaluate six coordinators; set clear goals, maintain written scorecards, and lead hiring for future openings.
  • Maintain state-based coordinator assignments: each coordinator supports one state, so guidance, audits, and training always reflect that state's laws and policies. Within Arizona, balance campus portfolios across the three coordinators by Registrar headcount and enrollment volume.
  • Own the shared framework (audit methodology, QA rubric, onboarding structure, scorecard) that keeps the four state programs consistent in quality and measurement while each state's content reflects its own requirements. Identify issues that recur across states and coordinate a network-wide fix.
  • Run the team's operating rhythm: weekly team meeting, state reviews, audit and QA calibration sessions, and a monthly scorecard review with the Head of Ops Enablement & Transformation.
  • Manage team travel, scheduling, and workload so coverage and audit commitments are met across all four states.

Training & Onboarding:

  • Own the Registrar onboarding program and certification path, ensuring every new Registrar completes standardized training within their first 30 days.
  • Oversee ongoing training, including refreshers ahead of peak enrollment periods, state reporting windows, and policy or system changes.
  • Ensure training materials reflect state-specific requirements for Arizona, Texas, South Carolina, and Nevada.

Compliance & Auditing:

  • Own the Registrar audit program: audit calendar, sampling methodology, tools, and state-specific checklists covering enrollment documentation, student records, withdrawals, and state reporting.
  • Ensure every campus is audited on the approved cadence, with targeted checks ahead of state reporting and funding-count deadlines.
  • Deliver audit results to campus leadership with clear corrective actions, track resolution, and escalate unresolved critical findings to the Head of Ops Enablement & Transformation.
  • Stay current on state and federal requirements affecting Registrar work, including student data privacy (FERPA), and translate changes into updated standards and training.

Quality Assurance:

  • Maintain the QA rubric and review process for high-volume Registrar transactions such as new enrollments, withdrawals, and record changes.
  • Track error rates by campus, state, and transaction type; lead calibration so coordinators score consistently.
  • Use QA data to target coaching to specific Registrars and campuses rather than issuing blanket retraining.

Coverage & Continuity:

  • Own the Registrar coverage protocol for absences, leaves, vacancies, and peak-volume periods, including remote coverage and campus visits where needed.
  • Maintain a coverage roster and response standard so critical Registrar tasks are never left unprocessed. Coverage is provided within each state.
  • Coordinate with the Head on deployment of the separate Registrar on Assignment (TBD). Assign backup coverage across Lisa, Andrea, and Sharon, balancing portfolio responsibilities with vacancies, state reporting deadlines, peak enrollment, and campus impact.
  • Maintain the coverage plan for Texas, South Carolina, and Nevada, where one coordinator supports the entire state: a named backup in each state (a backup Registrar in Nevada and Texas; a cross-trained campus staff member in South Carolina), hands-on coverage by the Texas and South Carolina coordinators, a current state continuity playbook, and the Lead's direct handling of escalations and critical deadlines when a coordinator is out.
  • Partner with campus leadership and HR to support Registrar vacancies, from interim coverage through onboarding of the new hire.

Process Improvement & Feedback Loop:

  • Identify recurring issues from audits, QA, and coverage work and determine root causes: training gap, unclear standard, system limitation, or process design.
  • Maintain and improve Registrar SOPs, reference guides, and the knowledge base so answers are consistent across the network.
  • Bring process improvement opportunities to the Head of Ops Enablement & Transformation with supporting data; serve as the deployment and sustainment owner for transformation initiatives that affect Registrar or front office work.
  • Gather Registrar and campus leader feedback on a regular cadence and use it to improve the support model.

Reporting & Stakeholder Partnership:

  • Produce a monthly Front Office Enablement scorecard covering audit compliance, error rates, coverage fill, time-to-proficiency, and satisfaction.
  • Build strong working relationships with principals, operations leaders, Enrollment, Student Information Systems, Finance, and HR.
  • Represent the Registrar perspective in network planning conversations.

Qualifications:

Required Qualifications:

  • Bachelor's degree or equivalent combination of education and relevant experience.
  • 4+ years of experience in school enrollment, registrar, student records, or a closely related operations function, including multi-site or district-level experience.
  • 2+ years of experience leading a team, including hiring, coaching, and evaluating staff.
  • Experience designing or running a training, audit, compliance, or quality assurance program.
  • Strong working knowledge of a student information system (e.g., PowerSchool) and student data privacy requirements.
  • Demonstrated ability to deliver difficult feedback constructively and build trust with staff you do not directly supervise.
  • Strong analytical skills; comfortable tracking metrics in Google Sheets or Excel and presenting findings to leaders.
  • Ability to travel regularly to campuses in Arizona, Texas, South Carolina, and Nevada.

Preferred Qualifications:

  • Experience with state enrollment and reporting requirements in one or more of Arizona, Texas, South Carolina, or Nevada.
  • Experience in a charter school network or multi-state education organization.
  • Background in process improvement or process documentation (SOPs, workflow mapping).
  • Experience building training content in an LMS or digital format.
  • Familiarity with project management and collaboration tools such as Asana and Google Workspace.
