Position purpose:

Under the authority of the Director of the School of Nursing and direct supervision of the Senior specialist, Practicum, helps with managing all activities leading to the practical training of undergraduate and graduate students in the School of Nursing. Responsible for the creation of the laboratory and simulation schedule taking into consideration the academic and clinical placement schedules. Analyzes and completes requests for foreign licensures. Coordinates mandatory pre-clinical trainings not managed by the Faculty’s student placement risk management advisors. Organizes and coordinates activities for placements that have been confirmed.

The incumbent utilizes the clinical placement management network chosen for the coordination of health sciences placements in the Ottawa region, and manages the online clinical evaluation platform with the Senior Specialist, Practicum. Maintains positive relationships with clinical partners and ensures observance of the affiliation agreements with the latter. Also ensures effective delivery of practical training through close collaboration with the school administration, the Simulation Lab Manager, the student placement risk management advisors, the faculty, other schools offering health science placements and regional clinical partners. Participates in school and faculty meetings, as well as meetings with regional partners when required, and can also serve as an interim representative on behalf of the Senior Specialist, Practicum on various committees at the school, faculty, regional and provincial levels related to practical training.

In this role, your responsibilities will include:

-Operations and activities related to clinical placements:

  • Identifies recruitment needs for practicum placements with the Senior Specialist, Practicum and Lead Advisor, Undergraduate Programs. Develops and organizes the schedule for the use of the Simulation Lab for each academic cycle and according to the predetermined academic schedule.

  • Manages the online clinical evaluation platform under the directives of the Senior Clinical Practice Coordinator.

  • Organizes mandatory pre-clinical trainings for student placements not managed by the ORM (e.g., Gentle persuasive approach training and EPIC documentation training) in collaboration with partnering agencies and trainers. Analyzes academic schedules for the various cohorts.

  • Revises the orientation materials for clinical instructors and students, and shares updated material with collaborative partners and involved actors.

  • Supports users (students, clinical instructors, clinical course coordinators and preceptors) in identifying software issues with (…) and redirects users to the system’s help desk (includes but is not limited to providing orientation materials for clinical instructors and students, troubleshooting, etc).

-Communication, consulting and liaison:

  • Communicates with students and advises them in their choice of clinical settings. Serves as key resource person to provide information related to mandatory health and safety modules.

  • Determines alternative placement options for students who may need to have their clinical placement(s) readjusted for various reasons, evaluates consequences of placement change on the student trajectory and explains additional steps to be taken to meet clinical practicum prerequisites. Communicates to clinical course coordinators the placement guidelines issued by various partners in the region.

  • Reviews and assesses compliancy reports from the student placement risk management advisors to determine which student needs to be contacted and either removed from placement or reassigned to later placements.

  • Analyzes and processes the multi-step requests for alumni’s applying for foreign RN licensure. Regularly liaises with Infoservice and as required with licensing bodies to complete these requests.

  • Validates completion of mandatory health and safety training modules and ensures follow-up with students for compliancy.

-Management of computerized systems: Uses the various features of the clinical placement management network to maximize the efficiency of placement coordination of students. Assesses the need for IT access at various clinical sites (e.g. hospital access) and plans IT training (through collaboration with clinical partners, hired trainers and collaborative schools) for students and their clinical instructors. Participates in the continuing education effort related to the clinical placement management network with the aim of integrating the use of new functions.

-Assignment to internship settings: Assigns students to various settings via the clinical placement management network following approvals received from agencies and takes into consideration students’ learning needs, their placement history, course objectives, and agency limitations. Explains to students the clinical placement structure, communicates timelines, important deadlines, and how and when they can utilize the clinical placement management network to prioritize their placement preferences.

-Meetings and Committees: Participates in team meetings with the school administration, in faculty meetings and when required in meetings with partnering schools and clinical partnersReplaces the Senior Specialist, Practicum as required on the following committees: a) Regional Clinical Resource Committee; b) Clinical and Practicum Training Working Group; c) HsPnet (clinical placement management network) Management Committee.

-Other functions: Undertakes any functions delegated by the Senior Specialist, Practicum with respect to the practical training of students.

What you will bring:

  • Bachelor’s degree in Nursing Sciences (RN) with combination of 3 years’ experience, or College degree in Nursing Sciences (RPN) with 5 years’ experience in a clinical setting.

  • Minimum 2 years of experience in a coordination or project management role.

  • Membership in the College of Nurses of Ontario is an asset.

  • Knowledge of the university environment, particularly nursing programs.

  • Knowledge of clinical placement management applications is an asset.

  • Knowledge of the principles and policies related to immunization and other pre-clinical clearance requirements

  • Knowledge of common computer programs (Excel, Word, Outlook/Calendar)

  • Experience in planning and coordination, and strong organizational skills

  • Leadership, initiative, autonomy and creativity

  • Negotiation skills, tact and diplomacy

  • Adaptability, decision making

  • Excellent ability to work in a team, develop and maintain positive interpersonal relationships

  • Ability to communicate clearly orally and in writing in both official languages

Bilingualism: French and English (spoken and written); to be considered for this position, candidates must be rated at the Low Advanced proficiency level or higher for both oral comprehension and reading comprehension in their second official language.
