What you will do

Manage end-to-end L&D content delivery projects by owning planning, governance, coordination, execution, tracking, and closure across the project lifecycle. The Project Manager will work closely with internal project coordinators, project leads, instructional designers, QA analysts, vendors, and business stakeholders to ensure learning deliverables are delivered on time, within scope, within cost, and with the expected quality. The role requires strong operational discipline, stakeholder management, vendor coordination, intake governance, effort and timeline estimation, reporting, quality governance, analytics-driven planning, conflict resolution, and continuous improvement to support the current L&D Shared Services operating model.

In addition to the above, the Project Manager will be expected to:

Own project governance by managing scope, timelines, risks, dependencies, stakeholder expectations, and delivery commitments across active projects.

Enable smooth coordination between internal teams, external stakeholders, vendors, IDs, QA analysts, and coordinators to ensure clear handoffs and accountability.

Drive operational excellence through intake tracking, POD updates, vendor workflow governance, reporting hygiene, process documentation, and continuous improvement.

How you will do it

  • Lead project planning, execution, monitoring, and closure for L&D content development and learning delivery projects.
  • Participate in requirement gathering, clarify scope, define delivery approach, and create phase-wise project and communication plans.
  • Support effort, cost, timeline, and resource estimation to enable realistic delivery commitments and project prioritization.
  • Determine and govern the execution strategy across in-house teams and vendors based on scope, capacity, skills, timelines, and delivery complexity.
  • Partner with project coordinators for internal coordination, trackers, meeting logistics, documentation, and follow-ups.
  • Partner with project leads for external stakeholder coordination, requirement alignment, escalations, and delivery commitments.
  • Manage vendor engagement under the hourly model, including initiation, onboarding inputs, effort tracking, communication, and delivery governance.
  • Coordinate with instructional designers, QA analysts, and vendors to ensure content quality, review cycles, rework tracking, and timely sign-offs.
  • Define and track quality expectations, quality metrics, review outcomes, and QA reporting inputs in partnership with QA stakeholders.
  • Maintain project plans, RACI details, trackers, status reports, action logs, risk logs, and project documentation for transparency and continuity.
  • Provide timely updates through stakeholder meetings, project reviews, dashboards, business reports, success stories, and stakeholder escalation management.
  • Use available analytics, project data, and delivery trends to inform project planning, scope discussions, risks, capacity decisions, and improvement actions.
  • Identify risks, blockers, capacity concerns, scope changes, and dependency issues early; escalate with recommended actions where needed.
  • Resolve conflicts, remove execution barriers, and drive alignment across internal teams, vendors, and stakeholders to support successful delivery.
  • Drive intake discipline by supporting requirement clarity, prioritization inputs, delivery readiness, and alignment with shared services processes.
  • Evaluate completed projects, capture lessons learned, track feedback, and recommend process improvements to improve speed, quality, cost discipline, and stakeholder experience.
  • Stay informed on L&D trends, authoring standards, and operational best practices to support scalable and relevant learning solutions.

Qualification & Experience

  • Graduate or postgraduate degree in business, learning, project management, operations, or a related field.
  • 8–12+ years of experience in project management, learning operations, content development, shared services, or vendor-managed delivery environments.
  • Experience managing multiple concurrent projects across global stakeholders, vendors, instructional design, QA, and operations teams.

Skills

  • Strong project governance, planning, tracking, risk management, and stakeholder communication skills.
  • Ability to manage cross-functional work across PM, coordinator, ID, QA, vendor, and business stakeholder groups.
  • Strong estimation and planning skills, including effort, timeline, cost, resource, and phase-wise delivery planning.
  • Project financial and cost governance mindset with the ability to manage multiple projects within agreed timelines, cost expectations, and quality standards.
  • Strong documentation discipline, including project plans, status reports, trackers, action logs, SOPs, and handover notes.
  • Experience with dashboards, reporting governance, analytics, and tools such as Power BI, MS Project, Planner, SharePoint, Excel, and Jira or equivalent tools.
  • Working knowledge of learning content development processes, authoring tools, SCORM/xAPI standards, review cycles, quality metrics, and QA workflows.
  • Vendor management experience, including execution strategy, workflow coordination, effort tracking, communication, issue resolution, and delivery quality checks.
  • Ability to influence without authority, manage ambiguity, resolve conflicts, drive accountability, and work effectively across time zones.
  • Strong customer orientation with a focus on quality, responsiveness, continuous improvement, and operational excellence.

Preferred

  • Understanding of instructional design, adult learning principles, learning technologies, and multimedia/content production workflows.
  • Experience working in shared services, GCC, L&D operations, or vendor-partnered delivery models.
  • Familiarity with HVAC, Building Automation, Fire & Security, or similar industrial/technical learning environments.
