Land Securement support:
· Complies with standards, guidelines, strategies, processes, and procedures on the acquisition of lands, land rights, perpetual easements and relocation needed for site acquisition.
· Assists in the identification, assessment, and submission of reports on the affected properties, landowners/claimants/tenants and improvements, including crops/plants/trees and houses/structures.
· Assists in completion of required documentation.
· Prepares requests for payment of Rental, RCI, Housing Structure and other claims and in the preparation and execution of relevant agreements.
· Coordinates with Local Government Units (LGUs) and government agencies, such as Bureau of Internal Revenue, Registry of Deeds, Land Registration Authority, Department of Environment and Natural Resources (“DENR”), and Department of Agrarian Reform (“DAR”), on the payment of relevant taxes and fees, registration of documents, titling, and other related activities.
· Assists in the conduct of information campaigns and presentations to LGUs, government agencies, and non-government organizations.
· Assists in the conduct of site inspections to confirm that compensated houses and structures are property dismantled and that relocation is done outside the acquired area.
· Assists in the applications for endorsements and permits from LGUs and concerned government agencies.
· Maintains good relationships with key stakeholders of the site/TL alignment, including (but not limited to) landowners, relatives of owners, tenants, relevant LGU officials, other government agencies, etc.
· Initiates document transmittals.
· Ensures all documents are properly filed, uploaded and recorded onto the document management system.
· Maintains and regularly updates the tracker.
· Prepares reimbursement, revolving funds, travel and other requests.
· Uploading and monitoring approval process on Approval Max.
· Monitors Team’s cash flow.
· Performs other duties that may be assigned.
Administrative functions:
· Ensures full implementation of monitoring and performance of the Administrative Department at the site
· Act as the point of contact for site-based employees, providing administrative support, managing their queries, and attending to their needs and concerns.
· Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
· Maintains excellent and effective coordination with all interfacing departments.
· Maintain the site office in good running condition.
· Create a driver schedule daily.
· Receive documents, sort, and distribute them to the respective department.
· Maintain the general office filling system.
· Arrange repair and maintenance of equipment.
· Keep records of repairs around office facilities, minor repairs, and maintenance work.
· Shall be the Inventory Supplies Custodian of all inventory supplies and assets, such as Office Supplies, tools and equipment, etc.
· Responsible for physical issuance and monitoring of all inventoriable supplies, such as Office Supplies, tools and equipment, etc.
· Responsible for documenting and monitoring all Fixed Assets, such as creating new or transferring fixed assets accountability.
· Maintains supplies inventory by stock checking inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipts of purchased supplies.
· Overseeing lifecycle of company fixed asset and ensure optimal performance efficiency and value.
· Monitor and process payment on time for utility bills, house rental, vehicle rental, suppliers, etc.
· Does other functions and tasks assign from time to time.
