What will you be doing?

The Labour & Employment Paralegal supports Circana’s Global Labor & Employment Legal function (“L&E”), with a primary focus on the EMEA region, while also maintaining flexibility to support other regions as needed.

This role plays a critical part in coordinating cross‑border labour matters, supporting works council processes, facilitating external counsel interactions, monitoring regulatory developments, and ensuring that employment- and labour‑related compliance documentation and processes are maintained. This role requires excellent judgement, structure, and the ability to work collaboratively in a fast‑paced, matrixed global environment.

This role will report to the Head of L&E Legal team and will partner closely with HR Business Partners, the HR Employee Delivery Organization, and with other leaders, corporate business functions, and stakeholders.

Job Responsibilities

External Counsel & Matter Coordination

  • Serve as a centralized point of contact for external counsel.
  • Manage intake of legal requests, compile background documentation, and oversee matter tracking.
  • Support budget oversight, invoice coordination, and efficiency in multi‑country legal workflows.
  • Ensure consistent briefing and structured information flow across jurisdictions.

Works Councils & Employee Representative Bodies

  • Maintain structured oversight of works council processes, including consultation timelines, obligations, notices, and documentation.
  • Support works council matters by tracking requirements, preparing materials, and maintaining local calendars.
  • Coordinate translations, local reviews, and cross-functional alignment with HR, Talent Acquisition, and business leaders.
  • Support collective consultation steps for restructurings, organisational changes, or other workforce impacts.

Regulatory Monitoring & Legal-Side Compliance Support

  • Track updates in labour law, EU directives (e.g., Pay Transparency, Whistleblower, Minimum Wage), and national transpositions across EMEA.
  • Maintain a structured labour law monitoring process and prepare concise, practical summaries for internal stakeholders.
  • Support L&E Legal in implementing compliance changes, developing country‑level guidance, and preparing for audits.
  • Assist with policy updates, including drafting country-specific legal guidance and implementation notes.

Drafting & Legal Documentation

  • Draft and revise employment-related documents, including letters, templates, notices, agreements, and legal guidance.
  • Assist with preparing legal training materials, decks, and summaries for HR and business leaders.
  • Prepare initial drafts of agreements, consultation notices, and research memoranda under attorney supervision.

Project & Process Management

  • Support cross‑border L&E and HR projects, including restructurings, policy rollouts, compliance frameworks, and EU‑level initiatives.
  • Maintain trackers, timelines, and documentation repositories to support consistent execution across regions.
  • Work collaboratively across Legal, HR, Compliance, and business functions to ensure aligned project delivery.

Knowledge Management

  • Maintain and update internal templates, FAQs, and legal reference materials.
  • Build and standardise documentation processes to ensure accuracy, visibility, and consistency.
  • Facilitate sharing of best practices across regions.

Requirements

  • Minimum 4 years of labour & employment legal support experience in EMEA, with at least 1-2 years supporting attorneys/legal counsel in‑house or within a corporate legal environment (in-house preferred).
  • Experience navigating multi-jurisdictional labour environments.
  • Strong experience with works council processes and documentation.
  • Demonstrated experience partnering with European Works Councils and managing transnational consultation processes in multinational environments.
  • Demonstrated ability to manage external counsel and multi‑country legal workflows.
  • Ability to track and synthesise regulatory developments into actionable insights.
  • General familiarity with EU directives, cross-border compliance, and multi-jurisdictional labour frameworks.
  • Excellent written and verbal communication skills, including drafting and summarising complex topics.
  • Superior organisational skills and attention to detail.
  • Fluency in English required; French strongly preferred. Additional EMEA languages a plus.
  • Familiarity with legal operations tools, matter management systems, e-billing platforms, and structured documentation processes (or strong aptitude to learn).
  • Passion for compliance, integrity, confidentiality, and high‑quality legal operations.
  • Experience working in global or matrixed organizations preferred, especially in environments requiring cross‑border coordination.
