Job Description

Overview

A busy family on the Upper East Side is seeking an intelligent, energetic and highly proactive full-time personal assistant / family coordinator with a strong emphasis on driving and after-school logistics.

The family has three school aged children and an established childcare team. The primary focus will be ensuring the children’s transportation and activities run seamlessly, as well as providing comprehensive personal assistance to the family more broadly around this. The family will guarantee up to 50 hours per week Monday through Friday, though candidates will rarely work 50 hours per week, generally starting in the late morning/early afternoon daily; Monday and Tuesday will generally be a 6/6:15pm finish, and Wednesday, Thursday and Friday will be a later finish at approximately 8pm. Flexibility is appreciated and respectful notice will be provided to candidates if there are any drastic changes to the schedule.

The candidate will use one of the two family vehicles - a Volvo XC90 and Range Rover, and must be comfortable driving in Manhattan and on highways to Westchester. The family spends an extended period in the Hamptons during the Summer and candidates will likely work more of a remote schedule during this time (the role will convert to more personal/ family assistance and less driving).

Responsibilities

The ideal candidate will be a confident and experienced driver, warm and engaging with children, exceptionally organized, and capable of managing responsibilities independently.

Driving and Transportation

  • Provide safe, punctual and reliable transportation for the children, particularly for school pickups and riding activities in Westchester (school/activity drop offs in the morning will not be required)
  • Be comfortable navigating New York City traffic, and longer journeys to Westchester
  • Maintain a consistently high standard of driving safety, discretion and professionalism.
  • Assist with transportation for either parent when required and when time permits, although the children’s needs take priority.

Family Coordination and Children’s Logistics

  • Take ownership of after-school logistics, including school pickups, transportation to extracurricular activities and safe return home.
  • Drive the family’s daughter from school in Manhattan to her competitive horseback-riding activities in Westchester, remaining mindful of the timing and demands of these regular trips.
  • Coordinate the children’s differing schedules, activities and transportation requirements, communicating proactively with the parents and nannies to ensure all arrangements are covered.
  • Work collaboratively with the existing childcare team to support a smooth daily routine, including coordinating dinner plans and helping ensure the children are appropriately looked after between activities.
  • Provide a warm, responsible and reassuring presence for the children while maintaining appropriate professional boundaries.
  • Communicate schedule changes, logistical issues and relevant updates clearly and promptly.

Personal Assistant and Administrative Support

  • Manage personal administration, including medical and insurance reimbursements, bills, appointments and other household-related paperwork.
  • Coordinate travel arrangements, dinner reservations, purchases, invitations and family events, including children’s birthday parties.
  • Liaise with household vendors, service providers, dealerships and other third parties, following up independently until matters are resolved.
  • Assist with practical personal projects, errands and household administration, taking ownership from beginning to completion.
  • Help organize family schedules, maintain clear records and anticipate upcoming needs.
  • Provide flexible support with tasks that may be completed remotely or outside the immediate after-school schedule when appropriate.

General Family Support

  • Work collaboratively with the parents and the existing household team to ensure the family’s day-to-day arrangements run smoothly.
  • Anticipate needs, identify solutions and take initiative without requiring constant direction.
  • Gradually assume broader responsibility for the family’s personal affairs as trust develops and the working relationship evolves.

Qualifications

  • Previous experience as a family assistant, personal assistant, family coordinator or in a similar high-level private household support role.
  • A strong track record of supporting busy individuals or families with complex schedules and competing priorities.
  • Excellent organizational skills and the ability to manage multiple responsibilities simultaneously.
  • A confident, experienced and safety-conscious driver with substantial experience navigating New York City and highway routes.
  • A warm, natural manner with school-aged children and the maturity to work effectively alongside parents and professional childcare providers.
  • Strong communication and interpersonal skills, with sound judgment and the ability to handle sensitive situations appropriately.
  • Excellent problem-solving skills and the ability to manage tasks independently through to completion.
  • A proactive, energetic and resourceful approach, with the flexibility to adapt as family needs change.
  • A genuine interest in building a long-term professional relationship with a family.

Requirements

  • An excellent driving record and a valid driver's license, with the ability to drive confidently in Manhattan and back and forth to Westchester.
  • Strong references from previous employers, with relevant background checks as appropriate.
  • Absolute discretion, confidentiality and professionalism when handling personal, financial and family matters.
  • Flexibility to accommodate changing schedules, with notice provided and applicable overtime
  • The ability to work independently while maintaining close communication with the parents and the existing household team.
  • A willingness to take ownership of both routine administrative tasks and more involved projects, following through reliably without needing repeated reminders.

Salary and Benefits

  • $130–$140k++
  • Competitive healthcare stipend/ healthcare reimbursement
  • Paid vacation and all other industry standard benefits
  • Competitive discretionary bonus
  • The opportunity to develop into a trusted, established position with increasing responsibility and a family that values initiative, reliability and commitment.
  • The family is looking for someone who wants to build a lasting professional relationship, take genuine ownership of their responsibilities and become an integral part of the family’s support structure
