Job Description

The role:

We are looking for a Knowledge Systems Specialist to join our Knowledge department in London.

We are seeking a highly organised and enthusiastic Knowledge Systems Specialist to join our Knowledge team and play a key role in supporting the firm's AI strategy. This role will work closely with Senior Legal Engineers to ensure the successful adoption and embedding of AI technologies across the firm. The successful candidate will be responsible for tracking usage and engagement, coordinating training activities, managing communications and providing day-to-day operational support for the firm's AI initiatives.

What will you do:

Usage tracking and reporting

  • Monitor and track adoption and usage of AI tools across the firm, working with available analytics and reporting dashboards.

  • Produce regular reports on key metrics including user engagement, adoption rates by practice group, and usage trends.

  • Identify patterns and insights from usage data to inform strategy and highlight areas requiring additional support or intervention.

  • Maintain accurate records of AI tool licences, users and access permissions.

Training coordination

  • Coordinate the scheduling and logistics of internal AI training sessions.

  • Maintain and update training materials, guides and resources in collaboration with the Senior Legal Engineer.

  • Track training completion rates and follow up with teams or individuals who have not yet attended required sessions.

  • Gather and collate feedback from training sessions to inform continuous improvement.

  • Assist in the delivery of training sessions where appropriate, providing hands on support to lawyers.

Communications and engagement

  • Develop and distribute regular communications to keep the firm informed about AI developments, new features, tips and best practices.

  • Manage content for internal AI-related channels, including intranet pages, newsletters and collaboration platforms.

  • Support the organisation of AI-related events, lunch-and-learns and drop-in sessions.

  • Help to build and maintain awareness of the firm's AI capabilities and resources.

AI Champions network support

  • Provide administrative and coordination support to the AI Champions network, including scheduling meetings, preparing agendas and circulating materials.

  • Track and report on AI Champions activities and engagement within their respective teams.

  • Assist in onboarding new AI Champions and ensuring they have access to the resources and information they need.

Operational and administrative support

  • Provide general administrative support to the Senior Legal Engineer and the wider Legal Engineering team.

  • Assist with vendor liaison and coordination.

  • Maintain organised records of AI projects, initiatives and key documentation.

  • Support the management of feedback channels, collating and summarising input from lawyers on AI tools and their experiences.

Continuous improvement

  • Proactively identify opportunities to improve processes and enhance the efficiency of AI adoption activities.

  • Stay informed about developments in AI technologies and legal technology trends.

  • Contribute ideas and suggestions to support the firm's AI strategy and roadmap.

What we are looking for:

Required Qualifications and Experience

  • The successful candidate will have a minimum of two years' experience in legal technology or a similar innovation-focused role within a law firm or legal department.

  • Strong proficiency in data analysis, reporting, and the use of tools such as Excel and PowerBI is essential.

  • Experience coordinating training programmes, events or communications is highly desirable.

  • Candidates must demonstrate excellent organisational skills with the ability to manage multiple tasks and priorities simultaneously.

  • Strong attention to detail and a commitment to accuracy are essential.

  • The role requires excellent written and verbal communication skills, with the ability to communicate clearly and professionally with stakeholders at all levels.

  • A genuine interest in AI and legal technology is required, along with a proactive, self-motivated approach and a willingness to learn.

  • Understanding of or interest in legal processes and how lawyers work would help the successful candidate contribute more effectively to the team. Prior experience gathering and analysing user feedback or conducting user research would be beneficial.

The career level assigned to this role is level 3. The career level framework provides a formal structure for the business services functions at the firm. The framework, which ranges from level 1 to level 7, clearly defines the responsibilities, skills and competencies required at each level.
