The Kitchen Administrator provides comprehensive administrative and operational support to the Executive Chef and wider Kitchen Team, helping to ensure the department operates efficiently, safely and effectively.
The role supports key areas including team rotas, holiday administration, training and development, Health & Safety, Food Safety, menu costing, purchasing, stock administration and online ordering.
This position requires someone who is highly organised, detail-focused and confident working within a fast-paced hospitality environment. Previous experience within a kitchen, hotel, restaurant or food environment would be beneficial.
Main Duties & Responsibilities Kitchen Administration
- Provide day-to-day administrative support to the Executive Chef and Kitchen Leadership Team.
- Maintain accurate departmental records, files and documentation.
- Assist with general correspondence, communications, reports and administrative requirements.
- Ensure relevant information is communicated effectively to members of the Kitchen Team.
- Maintain organised electronic and paper-based filing systems where required.
- Handle sensitive associate and business information professionally and confidentially.
- Support the smooth day-to-day organisation and administration of the Kitchen Department.
Rotas, Holidays & Team Administration
- Support the Executive Chef with the preparation, administration and communication of kitchen rotas.
- Ensure rotas and team scheduling information are accurately maintained and updated.
- Coordinate and record holiday requests in line with departmental requirements and company procedures.
- Maintain accurate holiday and absence records for the Kitchen Team.
- Highlight potential staffing gaps or discrepancies to the Executive Chef.
- Support effective planning to ensure appropriate kitchen staffing levels.
- Assist with general team administration, including documentation for new starters and departmental records.
Training & Development
- Coordinate and maintain accurate training records for all members of the Kitchen Team.
- Maintain and update the departmental training matrix where applicable.
- Monitor completion of mandatory and departmental training and highlight outstanding requirements to the Executive Chef.
- Help organise training and development activities for the Kitchen Team.
- Support kitchen inductions for new associates and ensure relevant training documentation is completed and recorded.
- Assist the Executive Chef and Kitchen Leadership Team with identifying and coordinating required refresher training.
Health & Safety
- Support the Executive Chef in maintaining appropriate Health & Safety documentation and records within the kitchen.
- Help ensure required kitchen safety checks and associated documentation are completed and appropriately filed.
- Maintain organised records relating to risk assessments, training and safety procedures.
- Escalate identified Health & Safety concerns or missing documentation to the Executive Chef or appropriate manager.
- Support the reporting and recording of accidents, incidents or hazards in accordance with applicable procedures.
- Promote a positive Health & Safety culture within the Kitchen Team.
Food Safety & Compliance
- Provide administrative support for Food Safety compliance and record keeping within the kitchen.
- Ensure Food Safety records and documentation are organised, maintained and readily available.
- Assist with maintaining Food Safety training records and monitoring completion of required training.
- Support the Executive Chef and Kitchen Leadership Team in preparation for relevant audits and inspections.
- Help monitor completion of required Food Safety documentation and escalate missing or incomplete records.
- Support the maintenance of high standards of food hygiene, cleanliness and safe working practices.
- Assist with documentation concerning areas such as allergens, temperature controls, cleaning and food storage as required.
Financial Administration & Menu Costing
- Support the Executive Chef with the costing of dishes, recipes and menus, ensuring ingredient and portion costs are accurately recorded.
- Maintain a good understanding of food costs, menu pricing, margins and general kitchen cost control.
- Assist with reviewing and updating menu costs when ingredient, supplier or purchasing prices change.
- Support the Executive Chef with maintaining accurate recipe and costing information.
- Assist with monitoring kitchen expenditure and identifying unusual cost variances for review by the Executive Chef.
- Support initiatives aimed at controlling food costs and reducing unnecessary waste.
- Demonstrate strong numerical accuracy when working with pricing, purchasing and costing information.
Purchasing, Ordering & Supplier Administration
- Place and manage food, beverage, equipment and kitchen supply orders using approved online ordering and supplier portals.
- Ensure orders are placed accurately and in accordance with the operational requirements of the kitchen.
- Maintain accurate purchasing and ordering records.
- Liaise with suppliers and relevant departments regarding orders, deliveries, shortages, substitutions and discrepancies.
- Assist with checking deliveries and associated purchasing documentation where required.
- Support the Executive Chef with supplier and purchasing administration.
- Assist with maintaining appropriate invoice, delivery and purchasing records.
- Highlight purchasing or delivery discrepancies to the Executive Chef for investigation.
Stock & Cost Control
- Provide administrative support with kitchen stock management.
- Assist with stocktakes and the completion of associated records as required.
- Support accurate recording of stock information.
- Assist the Executive Chef in monitoring food costs, purchasing and stock movement.
- Support effective stock rotation and waste control through accurate administration and record keeping.
- Maintain accurate documentation to support effective financial and operational control within the department.
