POSITION: Ken Sargent House Coordinator
JOB TYPE: Permanent Full Time
LOCATION: Grande Prairie, Alberta
The Ken Sargent House Coordinator is responsible for supporting the day-to-day operations of Ken Sargent House, ensuring a welcoming, safe, and supportive environment for guests and families travelling to Grande Prairie for medical care.
Reporting to the Director of Ken Sargent House, this role serves as the primary front-of house lead and plays a key role in volunteer coordination, guest experience, donation and in-kind supply management, and operational readiness of the facility. The House Coordinator works closely with Foundation staff, volunteers, community partners, and healthcare stakeholders to ensure the House operates efficiently and reflects the mission and values of the Grande Prairie Regional Hospital Foundation.
This position supports the Director by translating strategy into daily operations and ensuring consistent service delivery aligned with the House's vision as a home away from home for families across Northwestern Alberta.
RESPONSIBILITIES:
- Coordinate and support the daily operations of Ken Sargent House, ensuring a welcoming, safe, and well-organized environment for families.
- Provide consistent front-of-house leadership presence and serve as the primary point of contact for guests during their stay.
- Support guest intake processes including check-ins, orientations, scheduling coordination, and departures while ensuring adherence to eligibility criteria and house guidelines.
- Maintain accurate guest documentation, service tracking systems, and operational records aligned with Foundation standards.
- Implement operational procedures established by the Director and Foundation.
- Coordinate volunteer scheduling, engagement, and orientation to ensure strong daily support for guest-facing services.
- Monitor shared spaces and coordinate housekeeping routines, supply needs, and facility readiness to maintain a high standard of hospitality.
- Track maintenance needs and coordinate responses with contractors and Foundation contacts as required. Monitor inventory levels of guest supplies, linens, pantry items, and welcome materials while coordinating intake and organization of in-kind donations.
- Support implementation of safety procedures, emergency readiness practices, and operational policies within the House.
- Support incident documentation and operational reporting processes as required.
- Welcome visitors, donors, volunteers, and community partners and assist with House tours and small group visits.
- Assist with logistics related to Foundation engagement activities, tours, donor visits, and small gatherings connected to Ken Sargent House.
- Monitor guest needs and feedback, escalating concerns to the Director as appropriate and supporting continuous improvement of guest experience.
REQUIREMENTS:
- Post-secondary education in hospitality, nonprofit administration, social services, healthcare support services, or a related field.
- Minimum 5 years' experience supporting vulnerable populations, patients, or families in community, hospitality, or service-focused environments.
- Minimum 3 years' experience in hospitality, community services, volunteer coordination, guest services, or facility operations preferred.
- Demonstrated experience working with volunteers.
- Experience coordinating supplies, logistics, or facility operations.
- Proficiency with Microsoft Office, OneDrive, and cloud-based document collaboration tools.
- Strong interpersonal communication skills and the ability to work respectfully with diverse populations, including rural, northern, and Indigenous communities.
- Strong judgment, professionalism, confidentiality, and emotional intelligence when supporting guests and families experiencing medical stress.
- Valid driver's license and ability to travel locally and regionally as required.
- Successful completion of a criminal record check and vulnerable sector check.
- Some evening or weekend availability may be required.
- Ability to support a physically active and emotionally supportive environment
