
RINA is currently recruiting for a Junior Marine Business Support Advisor to join its office in Viareggio, Italy within the Mediterranean and Africa Marine Division.
A Business Support Advisor with a focus on managing administrative tasks from the creation of a customer in a database to the issuance of invoices plays a crucial role in ensuring smooth customer interactions and efficient business operations.
Support the management of customer data, ensuring information is accurate and up to date. Assist in processing customer orders and contracts, coordinating with internal teams to ensure smooth and timely delivery.
Help prepare and manage customer offers in internal systems, ensuring all documents shared with customers are complete and accurate.
Support invoicing and payment tracking activities, checking basic details and helping to resolve simple discrepancies in collaboration with the Finance team.
Assist technical teams with administrative tasks, including correct timesheets compilation on time.
Provide support to customers, answering inquiries, sharing updates on orders or invoices, and ensuring clear and professional communication.
Help identify and escalate customer issues or discrepancies, supporting the resolution process together with other departments.
Ensure activities follow company procedures and maintain organized and accurate records of customer data, orders, and communications.
High School Diploma/GED in Business Administration Finance Management
Up to 3 years of experience in business support, customer service, order management, or similar roles, with basic knowledge of processes such as offer management, contract handling, order processing, and (as a plus) invoicing or payment tracking.
Strong communication skills and a customer-oriented approach, with the ability to handle inquiries professionally, collaborate with internal teams, and support issue resolution effectively.
High attention to detail and good organizational skills, ensuring accuracy in customer data, documentation, orders, and invoices while managing multiple priorities in a dynamic environment.
Ability to identify and support the resolution of discrepancies or customer issues, with awareness of company procedures and documentation standards.
Good proficiency in Microsoft Office (Excel, Word, Outlook) and familiarity with CRM systems or similar tools.
Proactive, reliable, and eager to learn, with a focus on delivering quality service and continuous improvement.
The salary range and job grade for this position are defined based on objective, role-related criteria, and responsibilities in accordance with CCNL RINA (CNEL code I480).
The gross annual salary range foreseen is between €23,000 and €26,000 and will be finally defined on candidate’s professional experience, qualifications, competencies, and overall alignment with the role.
In addition, an annual variable compensation component is provided, based on both Company and individual performance objectives in accordance with the current policies and collective agreements.
The overall compensation package is complemented by the Company's welfare.
