Job Description

The constituency office of Rachel Bendayan, Member of Parliament for Outremont, is currently seeking a diligent, organized individual with an excellent commitment to service to fill the position of Junior Constituency Officer.

About this role

At the heart of the office’s operations, the junior policy assistant plays a key role in ensuring the office runs smoothly and is delivering high-quality service to citizens on a daily basis.

As the office’s first point of contact, this person greets visitors, directs inquiries, and ensures a professional, personable, and efficient experience for everyone who contacts the office, whether in person or by phone.

This position combines reception duties, administrative support, and active participation in the day-to-day operations of the constituency office.

Profile

We are looking for someone who understands the strategic importance of the receptionist role in a political office: someone who values personal interaction, who can build trust from the very first interaction, and who actively contributes to the quality of service provided to citizens.

Primary responsibility:

Front Desk and Reception (Key Role)

  • Maintain a professional and consistent presence at the reception desk
  • Greet constituents, partners, and organizations with courtesy and efficiency
  • Ensure that the office is accessible, organized, and functional during business hours
  • Manage office visits and conduct an initial assessment of needs

Communication and Request Management

  • Answer incoming calls and handle inquiries with discretion and diligence
  • Receive, review, and forward inquiries from citizens and organizations to the appropriate internal resources
  • Ensure thorough follow-up on voicemails, emails, and in-person inquiries
  • Draft correspondence in French and English

Administrative Support and Case Management

  • Monitor and process cases (including those involving Service Canada and the Canada Revenue Agency)
  • Maintain tracking systems, databases, and case management tools
  • Manage office invoices: submit them for approval via the financial portal and track payments
  • Contribute to the day-to-day administrative operations of the office

Support for operations and activities

  • Assist with the organization of events hosted by the office (community fairs, town hall meetings, etc.)
  • Help prepare printed materials and coordinate with the local print shop (certificates, letters, posters, etc.)
  • Manage advertising requests from local organizations and media outlets, under the supervision of the senior team.
  • Occasionally accompany or represent the representative at events

Relations with Organizations

  • Organize meetings with organizations upon request and follow up on them
  • Maintain positive professional relationships with community partners
  • Provide respectful, inclusive, and nonpartisan service

Teamwork

  • Work closely with the district office team
  • Assist with any other related tasks necessary for the smooth day-to-day operation of the office

Qualifications

Education and experience:

  • A university degree or college diploma in a relevant field, or equivalent professional experience
    • OR experience working as a regular staff member in a federal MP’s office
    • OR experience in event management, outreach, communications, or public affairs

Skills:

  • Proficiency in English and French, both written and oral
  • Excellent customer service skills and a warm, welcoming demeanor
  • Strong interpersonal skills and the ability to interact with a diverse range of people
  • Strong verbal and written communication skills
  • Ability to manage multiple tasks simultaneously with precision
  • Organizational skills, attention to detail, and ability to prioritize
  • Independence, initiative, and good judgment
  • Ability to work under pressure in a fast-paced environment
  • Professional attitude, discretion, and respect for confidentiality

Technology Skills:

  • Proficiency in MS Office (Word, Excel, Outlook)
  • Familiarity with Canva (bonus)
  • Proficiency with digital tools and databases
