Our client is a growing company within the beauty, skincare, and aesthetics industry, operating both an office and salon in Birkirkara.

They are looking for a motivated and organised Junior Administrative Executive to join their team and support the smooth running of the office and salon.

About the Role

The successful candidate will assist with a variety of administrative, customer service and operational tasks, acting as an important point of contact for clients, suppliers and the internal team.

This is a varied position, ideal for someone who is organised, proactive, reliable and enjoys working in a customer-focused environment.

Key Responsibilities

• Manage customer enquiries and provide professional support by phone, email and messaging platforms.
• Assist with appointment scheduling and calendar management.
• Handle order processing, invoicing and customer follow-ups.
• Maintain accurate customer records and administrative documentation.
• Assist with stock-related tasks and communicate with suppliers when required.
• Support the coordination of workshops, training sessions and company events.
• Assist with customer service and the day-to-day administration of the salon.
• Support marketing and promotional activities when required.
• Assist management with daily operational tasks and special projects.
• Prepare basic reports, documents and spreadsheets.
• Ensure administrative processes are completed accurately and efficiently.
• Perform general office administration duties and provide support to the wider team.

Requirements

• Only candidates currently residing in Malta will be considered.
• Previous experience in administration, customer service, reception or a similar role is considered an advantage.
• Strong organisational and time-management skills.
• Excellent communication and interpersonal skills.
• Professional and customer-focused approach.
• Good attention to detail and ability to manage multiple tasks.
• Proficiency in Microsoft Office, particularly Word and Excel.
• Ability to work independently while also contributing positively to a team.
• Proactive, reliable and willing to learn.
• An interest in the beauty, skincare or aesthetics industry is considered an advantage.
