About the Role

HeadQuarters is a global start-up that partners with US cannabis companies to provide support in finance, sales operations, and logistics.

We are looking for a motivated and detail-oriented Junior Accounts Receivable (AR) Associate to join our AR team in a role designed to provide hands-on training and development.

During the first 2–4 months, you will receive hands-on training and mentorship from our experienced AR team, learning our processes, systems, and best practices. You will initially support the team across different AR activities while building your knowledge, skills, and confidence.

Once we onboard a new client, you will have the opportunity to take ownership of their day-to-day AR activities and support the client directly, applying the knowledge and experience you gained during your training period.

This is a great opportunity for someone who is motivated to build a career in Accounts Receivable and Finance. You don't need to have extensive AR experience — if you are detail-oriented, comfortable working with data, proficient in Excel/Google Sheets, and have strong English and communication skills, we can teach you the rest.

The working hours for this role are 9 am - 5 pm EST (afternoon hours for candidates based in Europe).

Key Responsibilities

  • Support the AR team with day-to-day Accounts Receivable activities while receiving training and guidance.
  • Assist with invoice follow-ups, payment tracking, account analysis, and outstanding balance follow-ups.
  • Review aging reports and help identify overdue or outstanding balances requiring attention.
  • Communicate with clients regarding invoices, payments, and outstanding balances once you begin supporting a client directly.
  • Learn and follow client-specific processes, procedures, and SOPs.
  • Maintain accurate records and document AR activities.
  • Identify discrepancies or issues and escalate them when necessary.
  • Prioritize tasks based on urgency, business impact, and client needs.
  • Adapt to different clients, processes, and systems as business needs evolve.
  • Communicate information clearly, concisely, and professionally, both internally and with clients.

Requirements

  • Proficiency in Excel/Google Sheets and confidence working with data.
  • Strong written and verbal English communication skills, with the ability to communicate clearly, concisely, and professionally.
  • Bachelor's degree in Finance, Accounting, Economics, or a similar field.
  • High attention to detail and numerical accuracy.
  • Motivated, organized, and eager to learn new processes and systems.
  • Ability to adapt to new tools, workflows, and client requirements.
  • Previous experience in Accounts Receivable, Finance, Customer Support, or a related field is not required, but can be an advantage.
  • Familiarity with AR processes, accounting concepts, QBO, ERP, CRM, or other financial systems will be considered a plus.
