Job Description

Position Purpose:

The Staff Accountant will ensure proper The Staff Accountant provides support to homeowner associations

customers (HOA) by directing accounting functions in accordance with established guidelines set forth in the

management agreements, accounting principles, and company policies. This position maintains operational

standards for the accounting staff to maintain quality, consistency and meet specific deliverables. This position

works closely with homeowners and property managers and directly reports to the Director of CAM Accounting.

Primary/Essential Duties and Responsibilities

  • Prepare month-end financial packages, including reconciling and balancing all accounts; manage high-volume transaction processing efficiently.
  • Support managers and homeowners by addressing escalated HOA concerns and facilitating appropriate, timely resolutions.
  • Complete special projects and perform additional duties as assigned.
  • Review and verify owner billing statements to ensure accuracy prior to distribution.
  • Assist with general ledger entries, including establishing beginning balances for new associations.
  • Set up and maintain charts of accounts for new associations and add expense categories for existing accounts as needed.
  • Process miscellaneous deposits, including document scanning and corresponding general ledger entries.
  • Research and resolve outstanding or unexplained account discrepancies.
  • Support accounts payable functions, including invoice coding, maintaining accurate vendor records, and adhering to departmental policies and procedures.
  • Review credit card statements to ensure appropriate expenditures and accurate receipt matching.
  • Assist with accounts receivable functions as needed.
  • Support departmental staff with the entry and maintenance of new owner information.
  • Assist with processing returned mail, including making accurate account notations and conducting research to resolve delivery issues.
  • Perform additional duties and participate in projects as assigned.

Requirements

Knowledge & Skills Requirements:

  • Associate’s degree + 2 years of hands-on accounting experience preferred, or a minimum of four years of relevant professional experience in lieu of a degree.
  • Proficiency in accounting software applications, with the ability to research and resolve technical accounting issues.
  • Proactive, hands-on approach with a willingness to support various functions across the accounting department as needed.
  • Prior experience within an HOA or property management environment preferred.
  • Advanced computer proficiency, including strong skills in spreadsheet software.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with demonstrated leadership capabilities.
  • Ability to exercise sound independent judgment with significant organizational impact.
  • Proven ability to manage time effectively, prioritize tasks, and meet deadlines in a fast-paced environment.
  • High level of accuracy, attention to detail, and professional diligence.

Physical Demands and Work Environment:

  • While performing the duties of this job, the employee is frequently required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk; or hear. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.
  • Normal office conditions. The noise level in the work environment is usually quiet.
