Job Description

The Leidos Dig Mod organization is seeking a Travel Coordinator Specialist with expertise in JTR and DTS to support one of our critical customer missions.

The Travel Coordinator Specialist is responsible for managing all aspects of travel for the DoW customer and its employees. This includes, but is not limited to, booking airline tickets, securing lodging reservations, coordinating transportation, processing travel documents, and assisting with passport and visa applications and renewals. The role requires a strong understanding of international travel requirements, entry regulations, and compliance with Federal Travel Regulations (FTR) and/or Joint Travel Regulations (JTR). The Travel Coordinator serves as a key liaison with internal teams and external vendors, ensuring seamless travel arrangements. The ideal candidate must thrive in a fast-paced environment, effectively multitask to meet contract deadlines, and demonstrate exceptional organizational and communication skills. The Travel Coordinator Specialist must have a solid knowledge of the Defense Travel Systems (DTS) and its operability in order to support travelers.

Key Responsibilities

  • Perform the duties as an Agency Program Coordinator (APC) for the Government Travel Charge Card (GTCC) system, responsible for initiation of new applications, increase of charge limits, the transfer of accounts to MDA, and other actions as required.
  • Provide daily Defense Travel System (DTS) support for all customer travel requirements and respond to traveler/approver inquiries via help desk.
  • Interpret the Joint Travel Regulations (JTR) and apply those guidelines and directives to all travel inquiries and travel voucher processing.
  • Acts as the subject matter expert about DTS and JTR issues.
  • Support travel authorization and voucher processing; troubleshoot billing discrepancies and coordinate resolution as needed.
  • Provide periodic status updates and support data reporting on travel activity as required.
  • Create Traveler profiles for all program employees using the Customer Travel System.
  • Work with Travel Management Company to secure travel arrangements (i.e., air, lodging, etc.) via contract regulations (i.e., FTR/JTR).
  • Obtain, store, and provide archived travel itineraries upon request.
  • Advise employees on special or adverse conditions as they relate to individual travel plans.
  • Staying informed about current international travel advisories, political situations, and health concerns in various destinations.
  • Act as a primary contact with embassies, consulates, and government agencies to maintain and obtain visa/passport requirements
  • Reconciliation of corporate travel credit card.
  • Coordinate with courier services for secure document delivery and pick up.
  • Maintain strict confidentiality and data security when handling sensitive client information.
  • Maintain meticulous records for tracking and controlling passport/visas to avoid expiration lapses or delays.
  • Other duties as assigned.

Basic Qualifications:

  • Bachelor's Degree and at least 10 plus years of travel support experience.
  • Ability to work in a fast-paced environment, multitask, and communicate clearly and effectively verbally as well as in writing.
  • Travel Agent Certificate is preferred but not required.
  • DoW Top-Secret/SCI Clearance is required.
  • Provide executive summary reports and applicable metrics to facilitate process improvement and issue resolution
  • Conduct various monthly travel quality assurance reviews.
  • Complete required and directed periodic travel reports to identify errors, anomalies, and statuses, and make necessary travel corrections and updates.
  • Develop and provide classroom and virtual training for required travel tools.

Preferred Qualifications:

  • Advanced working knowledge/experience with DTS.
  • Advanced working knowledge of Defense Joint Travel Regulations (JTR).
  • Advanced working knowledge of Federal Travel Regulation (FTR).
  • Working knowledge of DoW Financial Management Regulations related to travel.
  • Excellent organizational skills and attention to detail.
  • Candidates for this position must have excellent written and verbal communication skills.
  • Solid MS Office Suite hands-on experience, including MS Outlook, Excel, Word, and PowerPoint.
  • Working knowledge of SharePoint repository and creating folders to store travel information.
  • Experience supporting high-volume government travel operations.
  • Ability to provide superior customer service in challenging circumstances (via phone, e-mail, Skype, and in-person) is required.
  • GSA SmartPay Travel training.
  • eFACT training for foreign travel.
  • GSA travel agent services training.

Pay Range:

Pay Range $82,550.00 - $149,225.00

The Leidos pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, experience, knowledge, skills, and abilities, as well as internal equity, alignment with market data, applicable bargaining agreement (if any), or other law.
