Essential Functions:

  • Oversees ordering processes and vendor coordination to ensure timely, cost-effective, and compliant purchasing.
  • Coordinates with supplies, shippers, and internal departments regarding delivery schedules, product evaluations, inventory additions and deletions, and established minimum/maximum stock levels.
  • Oversees the use of automated and manual inventory systems and reviews inventory levels to prevent shortages or excessive stock.
  • Coordinates warehouse operations and delivery schedules with departments and senior staff.
  • Serves as a working supervisor.
  • Assists in the development and revision of procedures and recommends improvements to enhance operational efficiency and compliance.
  • Ensures adherence to applicable purchasing regulations, safety standards, and warehouse requirements.
  • Performs Storekeeper and hands-on operational duties as needed to support procurement, warehouse, and inventory functions and maintain service levels.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications:

  • Requires knowledge, skill and mental development equivalent to completion of four (4) years of college with a major in business administration or a related field.
  • Requires two (2) years professional business experience such as might be obtained as a Business Administrative Specialist; or successful completion of a training course approved by the agency.

Preferred Qualifications:

  • Prefers at least two (2) years of experience in warehouse or inventory management, including use of automated inventory systems.
  • Prefers at least one (1) year of experience in procurement or purchasing operations involving inventory-based environments.
  • Prefers at least one (1) year of experience coordinating vendor relations, deliveries, and supply chain logistics.
  • Prefers at least one (1) year of experience applying purchasing, inventory, or warehouse procedures and internal controls.
  • Prefers at least one (1) year of experience performing inventory optimization activities.
  • Prefers at least one (1) year of experience working in healthcare, institutional, or public-sector supply operations.

Conditions of Employment:

  • Requires the ability to pass a background check.
  • Requires the ability to pass a drug screen and pre-employment physical.
  • Requires the ability to meet all agency vaccine/health-related policies and guidance.
  • Requires use of agency-supplied equipment (mobile phone, laptop, etc.).
  • Requires ability acquire and maintain Cardiopulmonary Resuscitation (CPR) certificate.
  • Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate. Requires appropriate, valid driver’s license.
  • This position is considered heavy work as defined by the U.S. Department of Labor (20 CFR 404.1567(d)). Heavy work involves lifting no more than 100 pounds at a time with frequent lifting or carrying of objects weighing up to 50 pounds.
  • Certain provisions of the revolving door restrictions contained in 5 ILCS 430/5-45 apply to this position. As a result, the employee should be aware that if offered non-State employment during state employment or within one year immediately after ending State employment, the employee shall, prior to accepting any such non-State employment offer, notify the Office of the Executive Inspector General for the Agencies of the Illinois Governor (OEIG) or may be subject to a fine.
  • Overtime is a condition of employment, and you may be requested or required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime. This requires the ability to work evenings and weekends.
