Essential Functions:

  • Under general supervision of the Accountant Supervisor, performs administrative functions for the fiscal department, operates the facility's switchboard and performs general receptionist duties.
  • Serves as reception is receiving and directing visitors following location lists provided by supervisors.
  • Contacts vendors to obtain legal vendor name, legal status and identification number to allow for establishment of vendor record within the accounting system; matches purchase orders to vendor invoices; scans documents and retrieves/files documents, both hardcopy and electronically.
  • Reviews a variety of difficult materials including records, reports, correspondence and other documents requiring reading handwritten hard copy; determines proper format and mode of address; proofreads for general clarity, punctuation, grammar, spelling, capitalization and typographical errors.
  • Opens all mail, shreds documents, files incoming correspondence, makes copies and provides clerical assistance to staff. Operates such common office equipment as personal computer, copy machines, document scanners and postage machines.
  • Maintains files and other material according to office procedures.
  • Performs other duties as required or assigned which are within the scope of the duties enumerated above.

Minimum Qualifications:

  • Requires working knowledge of skill and mental development equivalent to completion of high school and one year of related office experience, alpha-numeric sequencing, office practices, procedures and programs, grammar, spelling and puncutuation, basic mathematics.
  • Requires ability to follow oral and/or written instruction, the ability to operate commonly used manual and automated office equipment and perform routine maintenance.
  • Requires skill in keyboarding accurately at 35 words per minute.

  • Requires ability to pass a background check.
  • Requires ability to pass a drug screen and pre-employment physical.
  • Requires ability to meet all agency vaccine/health-related policies and guidance
  • Requires ability to travel in the performance of duties, with overnight stays as appropriate.
  • Requires ability acquire and maintain Cardiopulmonary Resuscitation (CPR) certificate.
  • Requires ability to attend seminars, conferences, and trainings to stay current on methods, tools, ideologies, or other industry related topics relevant to the job duties.
  • Requires use of agency-supplied equipment (mobile phone, laptop, etc.).
