Key Responsibilities

· Manage the end-to-end administration of IT purchase orders and invoice support (creation, tracking, matching, discrepancy resolution)

· Coordinate vendor onboarding and maintain supplier, contract, and supporting documentation in designated systems/repositories

· Maintain compliant, audit-ready procurement records and provide responsive administrative support/communications to internal stakeholders and vendors

Procurement & Purchase Order Support

· Prepare, track, and update purchase orders for IT hardware, software, and services in procurement and ERP systems

· Verify requisitions for completeness, correct approvals, and policy compliance before processing

· Monitor PO status and follow up with vendors and internal stakeholders to support timely fulfillment

· Maintain PO logs and assist with procurement performance tracking

Vendor & Contract Administration

· Support vendor onboarding activities, including documentation collection and coordination with Finance, Legal, and Security teams

· Maintain accurate supplier records, contracts, and supporting documentation in designated repositories

· Assist with tracking contract start/end dates, renewals, and related reminders

· Act as an administrative point of contact for routine vendor inquiries

Invoice & Financial Administration

· Support invoice review by matching invoices to purchase orders and contracts

· Flag discrepancies (pricing, quantities, missing POs) and coordinate resolution with vendors and internal teams

· Assist with accruals, invoice status reporting, and audit preparation

· Maintain organized and auditable procurement records

Compliance, Governance & Documentation

· Ensure procurement documentation aligns with IT procurement policies, approval thresholds, and audit requirements

· Support internal and external audit requests through accurate file management and reporting

· Assist with maintaining templates, procurement trackers, and standard operating documents

· Support data quality and consistency across procurement systems

Stakeholder & Team Support

· Respond to routine procurement status questions from IT, Finance, and business stakeholders

· Coordinate communications related to order status, delivery timelines, and required actions

· Provide administrative support to IT Procurement Specialists and Managers as needed

· Contribute to continuous improvement of procurement administrative processes
