Project Management Officer (PMO) — IT
We're excited to announce an opening for a Project Management Officer (PMO) to join our IT Team at the Geneva HQ working across our Geneva team and remote sites in Italy, Belgium, Greece and India.
Reporting to the vice president, you'll sit centrally within the team — leading the reporting and roadmap cycle, driving finance and procurement follow-up, and preparing the analysis and materials leadership leverages for decisions, C-suite updates, and vendor negotiations. You will be instrumental in identifying areas for process improvement and will collaborate closely with team members to implement solutions that enhance operational efficiency.
Some of your key responsibilities.
Reporting & Roadmap Ownership:
• Own the weekly project reporting cycle and the weekly lookahead that sets priorities for the week and drives the director's follow-ups with managers to clear roadblocks.
• Run the quarterly roadmap reviews and produce documenting plan-vs-actuals deviations.
Finance, procurement & contracts Analysis:
• Support the Director with contract review, invoice and PO management and budget tracking (evergreen status on spend), invoice (pre)validation.
• Track the contract and NDA lifecycle from legal drafting and validation through to full signature.
• Prepare budget (FTE, non-FTE) for the annual cycle, in collaboration with the site managers.
Leadership materials Preparation:
• Support and create presentation material for the director. These range from quarterly project status reviews to recaps for senior leadership, and vendor analyses that prepare the VP and Director for strategic discussions.
• Upon request, review and propose design improvements on team presentation material.
Governance & coordination across sites:
• Functional leadership to drive remote PMO in Italy, Belgium and India and Team Leads in GVA with transversal activities.
• Attend the department's weekly meeting, capture and circulate actions, and follow up with managers to hold them accountable to the commitments they report.
• Curate the topic lists for the director's and monthly manager meetings, drawing on open actions and escalations.
Operations & continuous improvement Coordination:
• Support your director in the design and implementation of the strategy, and own the improvements of the operational processes that keep the department running — for example redesigning the travel request process and keeping holiday and on-call rosters current across sites.
• Ensure headcount management / accuracy across the different sites, including newcomer and leaver reporting.
• Be a contributor in the development of staff training material
• Support Onboarding process for new joiners and as speaker provide department overview during the MSC academy sessions for new joiners.
Who are you?
• Experience as a PMO, ideally gained in an Agile environment in an IT department. Knowledge of Agile methodology (Scrum).
• An understanding of the IT and software development lifecycle, and the challenges that come with it, is a strong plus
•Comfortable with numbers and contracts: budget tracking, invoices and cost analysis
• Formal qualification in project management is a strong plus.
• Strong knowledge of MS Office Products (especially Excel and PowerPoint)
• Excellent English communication skills (oral and written)
• You are European Citizen - and you are based in Europe, no relocation.
Availability to travel twice per year in India, 2 times per year for 2 weeks as well as Travel to Italy and Belgium
