We are hiring for an IT & Facilities Manager to support us with IT support and facilities management responsibilities.

Duties and Responsibilities

Facilities Management

• Carry out routine building checks, ensuring the office is presentable, safe, and compliant with health & safety standards
• Manage relationships with external contractors and suppliers (cleaning, maintenance, security, waste, catering)
• Coordinate planned preventative maintenance (PPM) schedules and unscheduled works with the landlord’s suppliers for building systems (HVAC, lighting, fire safety, access control)
• Assist with the preparation of annual FM budget
• Monitor asset schedule and ensure any end-of-life equipment is included in the annual budget and replaced as required
• Monitor stock levels for office supplies, consumables, and kitchen provisions; place orders as required
• Set up meeting rooms, ensuring they are clean and presentable for client meetings
• Act as first point of contact for facilities-related issues raised by staff, ensuring prompt action and resolution
• Ensure health & safety compliance, including fire drills, risk assessments, and incident reporting
• Manage post, deliveries, and courier arrangements
• Support space planning, refurbishment projects, and desk moves as the office evolves
• Provide regular reports to local and remote senior stakeholders

IT Support

• Provide first-line IT support to staff escalating to third-line/external IT support where needed and ensuring prompt resolution
• Assist with basic user account administration (password resets, access requests) under guidance from IT/security policies
• Liaise with outsourced IT providers on incidents and scheduled works
• Undertake and, when required, co-ordinate internal office relocations with regard to IT equipment and placement, including weekends and out of hours
• Mobile device issues: Troubleshooting and resolving problems related to mobile devices, such as iPhones and iPads
• Mobile device setup, deployment, and support: This includes configuring and deploying mobile devices for users, ensuring they have the necessary applications and settings. It also involves providing ongoing support for these devices
• Printing issues: Address problems with printers, such as paper jams, connectivity issues, and print quality problems
• M365 Office support: Provide support for Microsoft 365 Office applications, such as Word, Excel, and Outlook. It includes troubleshooting issues and ensuring that the applications are properly configured
• Basic Citrix support: This includes providing support for Citrix environments, such as virtual desktops and applications. It involves troubleshooting connectivity issues, ensuring that users can access their virtual environments
• Hardware support: Troubleshooting and resolving issues with hardware, such as PCs, laptops, and peripherals. It includes diagnosing hardware failures, replacing faulty components, and ensuring that all devices are functioning correctly
• Surface Pro support and health checks: Provide support for Microsoft Surface Pro devices, ensuring they are updating and reporting back to management servers, and are functioning correctly. It involves troubleshooting issues, installing updates, and maintaining the devices
• Monitor Equipment Room and ensure any issues are addressed immediately
• Set up new starter equipment (laptops, monitors, phones) and manage leaver equipment returns
• Assist with preparation of annual IT budget
• Monitor asset schedule and ensure any end-of-life equipment is included in the annual budget and replaced as required.
• Support video conferencing and meeting room AV technology
• Maintain IT asset registers and manage stock of spare equipment

Qualifications, Skills, and Experience

• Previous experience in a facilities, office services, or IT support role
• Working knowledge of common IT & CAFM systems
• Practical, hands-on approach with strong problem-solving skills
• Excellent communication skills and a professional, approachable manner with staff and visitors
• Well organised, able to prioritise and manage multiple tasks
• Discreet and professional when handling sensitive information or working in client-facing environments
• Basic health & safety awareness (IOSH/NEBOSH desirable but not essential)
• Full clean driving licence (if travel between sites required)
• IWFM Qualification desirable but not essential
• Reliable, proactive, and comfortable working independently
• Presentable and professional, particularly important in client-facing or corporate settings
• Flexible and calm under pressure
• Trustworthy, given likely access to sensitive areas and systems
• Commercially aware
• Driven to achieve excellence
