The IT Business Operations Coordinator supports the IT Department with administrative excellence and process improvement. Supporting staff, vendors, and projects to ensure IT services run smoothly across the City. Success in this role comes from organization, a working knowledge of IT terminology and strong communication skills.

Salary Range: $80,373.12 - $97,676.16 annually *salary to be commensurate with qualifications of the successful candidate.

Nature of Work:

Under general supervision, this position provides administrative and operation support to the Information Technology Department. The incumbent assists with organizing and tracking IT contracts/licenses, software and hardware assets, coordinating departmental processes and supports efficiency and process improvement projects.

This role is responsible for maintaining accurate records, preparing reports and assisting with project coordination to ensure a smooth day-to-day IT Operations. A general familiarity with IT systems and terminology is required however, this position emphasizes administrative excellence, organization skills, data tracking and process improvement over technical depth. This position typically does not perform hands-on technical support, system configuration or trouble-shooting.

Necessary Knowledge, Skills and Abilities:

Knowledge of:

  • General IT concepts, terminology, and common software applications sufficient to support administrative coordination and communication with IT staff and vendors.
  • Principles and practices of administrative support, records management, and project coordination.
  • Microsoft Excel, including data entry, data manipulation, basic analysis, and report preparation. and data manipulation
  • Oral and written communication skills, grammar, spelling, and punctuation.
  • Standard office procedures, filing, and record-keeping.
  • Basic purchasing contract tracking and budget-monitoring practices.
  • Familiarity with systems such as SharePoint, help desk ticketing systems and directory services from a user or coordination perspective. .

Skills in:

  • Organization, planning, and time management in a multi-project, deadline driven environment.
  • Proficiency with Microsoft Office 365 Suite and other business productivity software.
  • Data Collection, organization tracking, analyzing, and presenting data in clear and accurate formats.
  • Interpersonal communication, using tact, patience, and professionalism.
  • Maintaining accurate records and managing detailed information with consistency.

Ability to:

  • Coordinate and monitor multiple tasks, priorities, and deadlines simultaneously
  • Support IT projects and initiatives through accurate tracking, documentation, and status reporting.
  • Identify and recommend improvements to processes and workflows.
  • Prepare clear, concise, and accurate written documents, reports, presentations, and instructional materials.
  • Provide front-end coordination for help desk and IT service requests, including triage, routing, tracking, and follow-up.
  • Work flexibly and take initiative as a self-starter in a dynamic IT environment.
  • Communicate effectively with staff, vendors, and the public in a professional manner.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Work independently with minimal supervision and as part of a team.
  • Operate standard office equipment and software, and adapt quickly to new tools and systems as needed.

Minimum Qualifications:

  • High school graduate or GED equivalent required; AND
  • Three years of administrative, office management, or project coordination experience, preferably in an information technology or technical environment; OR
  • A combination of experience and training enabling the individual to perform the essential functions of the position may be considered.
  • Familiarity with IT terminology and systems.
  • Successful completion of a pre-employment background check and criminal history check.

Working Conditions and Physical Abilities:

  • Work is performed primarily in an office environment with frequent use of computers and other office equipment. Duties require sufficient mobility to work at a desk for extended periods, occasional standing, bending, or reaching, and the ability to lift and move up to (25) pounds. The employee must be able to communicate effectively, both verbally and in writing, and maintain focus in a fast-paced environment where interruptions are common.
