Job Overview:
Level Up Talent Solutions is hiring an IT & Business Operations Manager to serve as the behind-the-scenes systems owner and execution partner for the business. This is a hands-on builder role, not a traditional admin position.
The ideal candidate will help create structure and consistency across CRM, scheduling, client follow-ups, proposals, marketing support, and internal operations. Working closely with the CEO, you will use AI tools and modern platforms to streamline workflows, reduce operational chaos, and improve follow-through across the business.
Responsibilities:
Operations & Executive Support
Manage calendar, scheduling, meetings, and coordination for the CEO
Track priorities, follow-ups, and action items across multiple workflows
Ensure deadlines and commitments are consistently executed
Help reduce operational noise and improve organization
CRM & Client Management
Maintain and update CRM records (leads, clients, referrals, pipeline)
Track proposals, follow-ups, and client communications
Support relationship-based sales workflow and reporting
Ensure clean and consistent CRM discipline
Business Systems & Operations
Organize files, documents, proposals, and client assets
Support onboarding, delivery, and follow-up workflows
Maintain task management systems and operational trackers
Help build scalable internal business processes
AI & Productivity Support
Use AI tools to draft emails, summaries, reports, and documents
Proofread and format proposals, presentations, and client materials
Improve workflows using automation and AI tools
Support documentation and operational organization
Marketing & Content Support
Proofread and format proposals, decks, emails, and documents
Assist with Canva and basic marketing/content support
Help organize materials for programs and client delivery
Maintain consistency in client-facing assets
Qualifications:
At least 2–3 years of experience in operations, executive support, or business management roles
Strong experience in B2B professional services (consulting, coaching, HR, L&D, or similar)
Advanced proficiency with Microsoft 365 and Google Workspace
Experience using CRMs (HubSpot, Zoho, Salesforce, or similar)
Familiarity with project management tools (Asana, ClickUp, Trello, Monday.com)
Strong ability to think in systems, workflows, and operational logic
High attention to detail with strong organizational discipline
Ability to work independently with minimal supervision
Strong written communication and professional English proficiency
Comfortable working in fast-paced, founder-led environments
Nice to Have:
Experience with AI tools (ChatGPT, Claude, Gemini, etc.)
Experience with automation tools (Zapier, Make, n8n, etc.)
Basic design skills (Canva or similar tools)
Experience supporting executive-level clients or leadership consulting firms
Exposure to marketing systems, email marketing tools, or digital programs
