We are seeking a highly organized and detail-oriented IT Administrative Assistant to support the day-to-day administrative and operational functions of our Information Technology Department. This position plays a critical role in coordinating IT logistics, equipment lifecycle management, onboarding and offboarding activities, travel planning, legal technology administration, and department documentation across our nationwide law firm.
The ideal candidate is proactive, resourceful, and capable of managing multiple priorities in a fast-paced environment while maintaining exceptional organizational skills and attention to detail.
· Manage IT department team calendar
· Track action items, project deadlines, and follow-up tasks to ensure timely completion.
· Assist with administrative coordination for the IT leadership team.
· Maintain a forward-looking schedule of IT staff travel and on-site office visits.
· Assist with planning equipment orders, shipping schedules, and new office technology deployments.
· Coordinate logistics associated with office openings, expansions, and technology installations.
· Maintain the firm’s IT asset inventory and equipment records.
· Coordinate packaging, shipping, and delivery of computer equipment and technology assets.
· Manage equipment returns and ensure accurate lifecycle documentation.
· Assist in maintaining inventory accuracy and equipment accountability across all office locations.
· Coordinate IT onboarding activities for new hires.
· Confirm employee information, office location, and technology requirements prior to start dates.
· Coordinate shipment and delivery of technology equipment to all office locations.
· Maintain accurate technology inventory assigned to each employee.
· Distribute standard IT onboarding materials and documentation.
· Coordinate collection, return, and tracking of equipment for departing employees.
· Assist with user administration for the firm’s legal technology platforms.
· Add and remove users and coordinate access to role-specific technology resources.
· Serve as backup support for Legal Technology onboarding and user training sessions.
· Maintain centralized documentation for IT administrative processes and procedures.
· Assist with documentation updates related to new technologies, workflows, and department procedures.
· Support IT project rollouts through administrative coordination and tracking.
· Identify opportunities to improve administrative processes and operational efficiency.
· Assist with special projects and additional administrative responsibilities as assigned.
Requirements
· 2+ years of administrative experience, preferably supporting an Information Technology department or professional services environment.
· Strong organizational and multitasking skills with the ability to manage multiple priorities.
· Excellent written and verbal communication skills.
· High attention to detail and ability to maintain accurate records.
· Proficiency with Microsoft Office Suite, particularly Outlook, Excel, Word, and Teams.
· Experience coordinating logistics, inventory management, or onboarding processes is preferred.
· Ability to work independently while collaborating effectively with cross-functional teams.
· Strong customer service mindset and ability to maintain confidentiality.
· Must be able to sit for extended periods of time.
· Must be able to occasionally lift up to 25 lbs. when coordinating technology equipment shipments.

Compensation
Salary is commensurate with experience.
Pay Range: $24 - $31.25 per hour
