Purpose of the Role
The Invoicing & Data Capture Clerk is responsible for accurately capturing operational data, preparing customer invoices, maintaining transport records, and ensuring all supporting documentation is complete and submitted on time.
Key Responsibilities
• Capture transport and operational data accurately into the company systems (Carlo & Pegasus)
• Prepare customer invoices according to approved rates and contracts.
• Verify all invoices against PODs, delivery notes, loading orders, and supporting documentation.
• Follow up on outstanding PODs and missing documentation.
• Ensure invoices are submitted within the required timelines.
• Maintain accurate filing of all transport and invoicing documents.
• Reconcile trips, loads, and invoices before submission.
• Assist with daily, weekly, and monthly reporting.
• Capture fuel, tolls, standing time, and other transport-related costs where applicable.
• Resolve invoice queries with customers and internal departments.
• Liaise with Operations, Finance, and Customers regarding billing matters.
• Update transport records and ensure information is accurate at all times.
• Maintain confidentiality of company and customer information.
• Perform any other administrative duties as assigned.
Minimum Requirements
• Grade 12 (Matric).
• Certificate or Diploma in Administration, Finance, Logistics, or a related field will be an advantage.
• Minimum 2 years' experience in invoicing, administration, or data capturing.
• Experience in the transport and logistics industry will be an advantage.
• Computer literate with good knowledge of Microsoft Excel, Outlook, and Word.
• Experience using ERP or transport management systems is advantageous.
