Fund Administration: Investor Services - Consultant

We are hiring an Investor Services Consultant to join our team supporting one of our largest private equity clients. This role is designed as a cross-trained resource within the Client Service Team, capable of flexing across multiple functions as business needs dictate. Rather than owning a single function, this individual will build working proficiency across the full investor lifecycle and be deployed where coverage is needed most, potentially on short notice.

The individual will primarily work within the Salesforce platform, alongside supporting client systems and document repositories, to deliver high-level, fast-paced investor service support. The role requires close collaboration with individuals at all levels and across a variety of teams at the client.

The position requires strong listening comprehension and communication skills and the ability to multitask and prioritize across concurrent workstreams.

Responsibilities Include:

Investor Onboarding

• Coordinate with various client stakeholders to enter new investor data into Salesforce while maintaining records and trackers and uploading documents to the system of record.
• Review investor documents from the online database and shared inbox for completeness, then enter key data from subscription documents and side letters into Salesforce, ensuring accuracy through Manager-level approval.

Investor Document Posting

• Upload investor reporting and notices to the investor website.
• Generate investor contact reports in Salesforce to identify the relevant population, then draft investor communications, coordinate Fund Management review, and send upon approval.
• Correspond with client stakeholders on document timing, errors, and presentation to ensure quality and consistency.
• Work with internal support teams to troubleshoot document-posting errors.

Investor Request Queue Coordination & Management

• Support the centralized investor request queue in Salesforce, including research and completion of requests.
• Collaborate with client teams to resolve inquiries, following escalation procedures as needed.
• Manage client and investor expectations through high-touch, personalized communication, ensuring quality and consistency on assigned requests.
• Maintain flexibility around work schedules and monitor emails outside of normal working hours based on client needs.

Investor Contact Management

• Update investor contact information, manage reporting website access, and respond to investor requests.
• Manage the Salesforce contact changes distribution list and coordinate updates as needed.

What You Must Have

• 1-3 years of experience.

• Client service experience, including experience managing elevated client or stakeholder expectations.
• Experience coordinating across multiple stakeholders or teams to execute requests, resolve issues, or complete defined processes.
• Experience managing multiple concurrent projects, requests, or workstreams in a deadline-driven environment.
• Experience reviewing documents, records, or data for completeness and accuracy and maintaining information within structured systems or trackers.
• Experience communicating directly with clients, customers, investors, or other external stakeholders.

Nice to Have

• Bachelor’s degree in Business, Finance, Accounting, Economics, or a related field.
• Familiarity with Salesforce, SharePoint, or another CRM, workflow, or document-management system.
• Intermediate or advanced Microsoft Excel skills.
• Exposure to financial services, asset management, private equity, fund administration, investor services, or similar financial operations.
• Experience supporting investor onboarding, investor reporting, investor communications, subscription documents, side letters, or investor contact management.
