About the Role

Contract - permanent

We are hiring an Investment Administrator to support a team of five Investment Managers within our London office. The role involves a wide range of administrative responsibilities and requires someone who is organised, professional, and confident working in a fast‑paced environment.

Core responsibilities

  • Respond promptly and professionally to queries from Investment Managers, private clients, and both internal and external financial advisers via telephone and email.

  • Support the full lifecycle of client accounts – from opening new accounts, assisting with ongoing administration, to closing accounts – ensuring all processes remain fully compliant.

  • Assist with general team administration, including:

    • Answering inbound calls

    • Preparing PowerPoint presentations

    • Drafting suitability letters and maintaining suitability affirmations

    • Inputting BAC and CHAPS payments

    • Preparing account valuations and other statements

    • Helping to produce investment proposals

    • Assisting regular client reporting using Outlook mail merge

    • Assisting with diary management, room bookings and IM expenses where required

    • Draft and respond to client correspondence, including emails and letters.

Skills & attributes

  • Strong attention to detail and the ability to prioritise tasks effectively.

  • Professional telephone manner, as you will frequently interact with high‑net‑worth clients.

  • Ability to work under pressure, particularly during busy periods such as quarter‑end and tax year‑end.

  • Proficiency in Microsoft Word, Excel, and PowerPoint; strong IT skills are an advantage.

  • Some experience within the investment or wealth management sector is preferred.

Working arrangements & training

  • The role is based in our London office and typically requires 3–4 days per week onsite, particularly during initial onboarding and training.

  • You will report to the Team Head, as well as the Investment Managers and Investment Assistants.

  • Full training will be provided. We are a collaborative team, and your progression will reflect your ability to learn and take on varied tasks.

Additional notes

  • Although you will assist Investment Managers closely, this position does not ordinarily lead to the trainee Investment Manager career track.

  • You will be working alongside another experienced Investment Administrator whilst the team is also supported by four trainee Investment Managers.

To understand and fulfil the requirements of Consumer Duty and act to deliver good client outcomes, as appropriate within my roles and responsibilities.

About You

  • Ideally you will have experience in a similar role as an Investment Administrator within Wealth or Investment Management, however this is not essential

  • To be successful in this role you will be an independent worker and thinker.

  • You will be organised, reliable and conscientious, with the ability to learn quickly and take ownership of regular tasks. You will be comfortable dealing with clients, advisers, colleagues and third parties in a professional manner, both by phone and in writing.

  • The role would suit someone who is quietly capable, takes pride in doing things properly and enjoys being an important part of a busy team. You won’t necessarily be the loudest voice in the room, but you should be able to communicate clearly, ask sensible questions and work with increasing autonomy as you become more confident in the role.

  • A good level of Microsoft Office, especially Word, Excel and PowerPoint, is required.
