This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Investigator Grants Associate II based in Brazil.

The Investigator Grants Associate II plays a key financial role in supporting clinical research projects and ensuring accurate, timely site payment operations. You will work closely with project management and finance teams to manage investigator grants, budgets, reconciliations, and payment workflows. The role combines financial analysis, clinical research knowledge, and detailed project administration in a fast-paced environment. You will help maintain accurate payment tracking while ensuring activities align with contractual requirements. The position also involves communicating with investigative sites and internal stakeholders to resolve payment-related questions. Success in this role requires strong organization, analytical thinking, and the ability to manage confidential financial information independently.

Accountabilities:

    • Support project and finance teams with the timely, accurate preparation, tracking, and processing of investigator site payments.
    • Review financial sections of Clinical Trial Agreements (CTAs) and establish project- and site-specific payment tracking workbooks.
    • Maintain advance balance tracking and monitor prepaid funds to ensure sufficient resources are available for site payments.
    • Work with Project Directors and Project Managers to ensure eligible visits and payment milestones are accurately documented and processed.
    • Validate financial calculations within investigator payment workbooks and prepare payment packages for review and approval.
    • Communicate approved payments to the Finance team in accordance with CTA terms and conditions to facilitate financial system entry and payment processing.
    • Prepare site payment reconciliations and applicable Aggregate Spend, Medicare, and Medicaid reporting.
    • Collect and analyze patient activity data to support accurate client accruals, site payments, and project cost forecasting.
    • Support management of investigator grants pass-through budgets and monitor overall budget health.
    • Maintain the investigator grants mailbox and respond to payment-related inquiries from investigative sites and internal stakeholders.
    • Coach and mentor other members of the Investigator Grants team, sharing knowledge and supporting consistent processes.
    • Identify opportunities to improve grant administration workflows, increase efficiency, and strengthen financial accuracy.
    • Complete ad hoc financial and grant administration activities as assigned by senior leadership.
    • Requirements:

      • Bachelor’s degree or local country equivalent.
      • At least 3 years of clinical research experience.
      • Previous Accounts Payable experience, particularly involving global payments.
      • Professional working proficiency in English.
      • Strong analytical and problem-solving skills, with the ability to analyze, reconcile, and communicate financial results.
      • Advanced or intermediate-to-advanced Microsoft Excel skills, including experience maintaining financial trackers and workbooks.
      • Knowledge of investigator contracts, clinical trial budgets, and site payment processes is preferred.
      • Previous experience as an Investigator Payment Specialist or in a similar senior-level role is an advantage.
      • Familiarity with applicant, financial, or grant administration systems and standard Microsoft Office tools.
      • Strong understanding of interview and stakeholder communication practices is not required; instead, candidates should demonstrate excellent written and verbal communication skills when working with project teams and investigative sites.
      • Exceptional attention to detail and a process-driven approach when handling large volumes of confidential financial information.
      • Strong time management skills and the ability to prioritize competing responsibilities while meeting critical deadlines.
      • Ability to work independently with minimal supervision while contributing effectively within a collaborative project team.
      • Proactive communication style, strong interpersonal skills, and a professional approach to working with internal and external stakeholders.
      • Demonstrated ability to take ownership, deliver on commitments, and resolve payment-related issues efficiently.
      • A continuous-improvement mindset, with the ability to identify opportunities to make processes more efficient and teams more effective.
