The primary objective of the Inventory Reconciliations Officer is to act as the accounts receivable and customer service point of contact across our eCommerce channels and platforms, providing exceptional support to our customers and building trusted relationships with multiple stakeholders. This role is a catalyst between the marketing, warehousing, IT and finance teams driving operational efficiency through analysis that minimises order processing issues and delays.

The Inventory Reconciliations Officer will focus on the following areas:

  • Accounts Receivable & Reconciliation
  • Customer Service
  • Stakeholder Management
  • Continuous Improvement & Reporting

Key responsibilities

Responsibilities of the Inventory Reconciliations Officer will include but are not limited to:

Accounts Receivable and Reconciliation

  • Review and reconciliation of all group (including eCommerce) accounts to maintain up to date ledgers and figures.
  • Reconcile PayPal, Amazon, Shopify bank payments against the accounts in SAP - our finance system.
  • Review and reconcile all orders in eCommerce against the WMS and finance system.
  • Assist the Accounts Receivable Manager with projects, adhoc or end of month tasks.
  • Raise credit notes for fees and other charges as needed.
  • Assist the AR Manager or Treasury team with cashflow forecasts.
  • Assist in Accounts Receivable support as needed to assist our retail channels and accounts e.g. create new debtors, send out statements etc.

Customer Service

  • Develop and foster great customer relationships.
  • Manage all enquires and inboxes.
  • Manager any customer related payment or refund enquiries.
  • Follow up chargebacks and disputes and manage till resolution.

Stakeholder management

  • Liaise with marketing teams to escalate workflow or product issues.
  • Follow up with Tech Support to resolve chargebacks and disputes.
  • Liaise with the D2C warehouse on product orders

Continuous improvement and reporting

  • Proactively identify process/workflow issues and escalate to relevant department.
  • Contributing to the development of new processes.
  • Liaise with marketing/Amazon teams for
  • Processing of claims/credits assigned to the department.
  • Provide any adhoc or ongoing reporting as needed.
