The Inventory Coordinator supports the PSG Milpitas Inventory Team by performing high-frequency, process-driven tasks that currently extend the daily workloads of the Inventory Supervisor and Inventory Lead beyond standard hours.

The coordinator handles receiving and packing slip processing, outbound shipper transactions, shortage tracking support, cycle count administrative tasks, kit and WIP support, and general administrative duties. The role is fully defined and trainable to full productivity within 3-4 weeks under the supervision of the Inventory Supervisor and Inventory Lead.

Task / Responsibility

RECEIVING & PACKING SLIP PROCESSING

Receive and process packing slips in BAAN ERP — match incoming slips to open POs, complete receipt transactions, verify part numbers and quantities against expected delivery.

Enter Country of Origin (COO) information to online compliance tracker — gather required fields from packing slips and enter complete COO data.

Scan and upload packing slips to shared online file — organize and upload PDFs to the designated shared folder for audit trail and compliance purposes.

File physical packing slips daily; perform monthly archiving to filing room.

SHIPPER & OUTBOUND TRANSACTIONS

Transact routine shipper forms in BAAN for standard outbound inter-CM kit shortage transfers and other routine material movements. Complex or RMA shippers escalated to the Inventory Supervisor.

SHORTAGE & INVENTORY SUPPORT

Add all new shortages to the online shortage tracker — log every new shortage reported by JIT, planning, or variance review; maintain current status on all open lines throughout the day.

Monitor PO and CM delivery statuses; report updates to the Inventory Lead/Supervisor — follow up with vendors and CMs on delivery timelines.

LIBRARY CARDS & MATERIAL REQUESTS

Process internal library card requests in BAAN — email the request to the appropriate team or physically retrieve and deliver material to the requestor.

KIT & JIT SUPPORT

Prepare, print, and organize kit paperwork for JIT — print and organize kit documentation packets for each kit dispatched; ensure all required forms are present and labeled.

Scan and email cycle count sheets to JIT and SMTC — scan completed in-house count sheets and forward as PDF to JIT and SMTC as part of the cycle count program.

WIP SHELF & COMPLETION SUPPORT

Perform physical verification of finished units on the WIP shelf against work order paperwork. Assist the Inventory Lead with moving completed items to correct stock room locations or kit shortage staging areas.

ADMINISTRATIVE & AD HOC SUPPORT

Handle ad hoc data entry requests, format inventory or shortage reports as directed, and maintain organized physical and digital filing systems.

Maintain daily task log and track completions on tasks delegated by the Inventory Supervisor to the broader Materials team (Shipping & Receiving).

Provide flexible operational support for urgent, unplanned, or overflow tasks to ensure the Supervisor and Lead are not pulled off priority work.

Qualifications

Minimum Requirements

  • High school diploma or equivalent; associate degree preferred
  • 3+ years of experience in inventory, warehouse, supply chain, or related field
  • Proficiency with Microsoft Office Suite (Excel, Outlook)
  • Strong attention to detail and accuracy in data entry
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Strong organizational and time management skills
  • Effective written and verbal communication skills

Preferred Qualifications

  • Experience with ERP systems (BAAN or similar)
  • Familiarity with inventory transactions, PO receiving, or cycle counting
  • Experience in a manufacturing or contract manufacturing environment
  • Knowledge of basic inventory compliance or audit procedures

Working Conditions

  • Primarily office/warehouse environment at PSG Milpitas facility
  • Regular standing, walking, and occasional lifting (up to 25 lbs) required
  • Standard 8-hour workday; Monday through Friday
  • Frequent coordination with JIT, SMTC, planning, and cross-functional teams

Salary Range:

$50,600.00-$67,500.000

The anticipated salary range listed for this role is only an estimate. Actual compensation for successful candidates is carefully determined based on several factors including, but not limited to, location, local regulations (such as minimum wage), education/training, work experience, key skills, and type of position.
