General mission
As a Market Assistant within the Middle East, India, and Africa (MEIA) team, you will play a crucial role in supporting the Marketing, Training, and Sales teams. Reporting directly to the MEIA Managing Director, your responsibilities will include:
Daily Project Support: Assist in various projects to enhance communication, agility, and efficiency across teams.
Office Management: Provide administrative support to the Managing Director, ensuring smooth office operations.
Your role is pivotal in fostering a collaborative and efficient work environment.
Main tasks
MARKETING
Animations:
Brief gathering: develop a comprehensive brief that consolidates all types of animations (e-com, trade, paid social, etc..) to help markets submit a well-structured brief whenever they have an animation planned.
Visual Merchandising:
Build generic planograms + repetitive EP POS support (TR gondolas).
TRAINING
Training Event Coordination
Coordinate logistics for all training events, including venue and travel bookings, accommodations and on-site requirements in line with the confirmed training plan.
Liaise with the training venue’s event manager on agenda timings, room setup, AV, and catering.
Support on-site execution of training events (e.g., seminars, workshops, in-house sessions), including room setup, distribution of materials, and general event coordination.
Prepare and coordinate printing of training materials, name badges, certificates, and delegate kits ahead of each seminar.
Track RSVPs and maintain updated attendance tracker during seminars.
Inventory and Material Management
Maintain an accurate inventory of training materials, stationery, and branded items ensuring adequate stock levels.
Order, prepare, and coordinate delivery of materials with approved vendors and couriers, including international shipments.
Travel and Expense coordination
Arrange travel logistics for trainer, including booking flights, hotels, and managing visa processes.
Maintain a tracker for travel bookings and training expense records.
TRAVEL RETAIL SALES
Staff management
Grooming overview & shipment.
Product allocation overview & shipment.
Client Management
Novelties listing.
Credit notes input.
POSM preparation for podiums & new launches.
Sales reports input on the sharepoint file.
OFFICE MANAGEMENT
Manage office supplies replenishment and supplier relationship (cleaning, plants, water fountain…).
Coordinate all office events and gatherings (with the support of peers – if needed).
Assist MD with agenda management, market visits, HQ/client visits, presentations and ad hoc projects.
Arrange travel logistics for MD, including booking flights, hotels, and managing visa processes.
Profile
Graduate from a business school or university, you have gained successful initial internship experience in a commercial or marketing role within a large company. Knowledge of perfume and beauty products would be a plus.
You are organized, hands-on, methodical, and meticulous, and you enjoy working in a team. You have strong analytical skills. You have successfully coordinated and managed various projects.
You are proficient in computer tools (Word, Excel, PowerPoint).
You are fluent in English / French a plus but not necessary.
