Job Description

The Merchandise Management Intern will assist the Gallery Management team in coordinating and supporting merchandise-related activities for the GALERI Shop.

This internship is a learning-based role with exposure on gallery operations, merchandise development, and menrchandise vendor coordination within a cultural institution.

The intern will work closely with the designated supervisor and external parties such as suppliers and the shop operator, while all final decisions and approvals remains with the Gallery Management team.

Key Responsibilities:

  1. Merchandise Order Tracking & Coordination
    • Assist in maintaining and updating simple merchandise order trackers, including product details i.e., quantities ordered, supplier information, delivery timelines and status
    • Monitor progress of orders and flag follow-ups or delays to the supervisor
    • Learn the end-to-end workflow from planning, design development, ordering to delivery

  2. Supplier & Operator Liaison Support
    • Assist in drafting basic communications (emails, messages) to suppliers and the shop operator under supervision
    • Follow up on quotations, confirmations, timelines and basic information requests
    • Compile responses, quotations or updates received for review by the supervisor

  3. Sampling & Quality Check Assistance
    • Assist during merchandise sampling and review sessions with the supervisor
    • Support basic quality checks by: Observing materials, colours, prints, and finishes
    • Taking photos and notes during sample reviews
    • Help document feedback and required amendments for internal records.

  4. Inventory & Documentation Support
    • Assist in maintaining simple records of:
      • Sample items
      • Incoming merchandise
      • Stock handover to the shop operator
    • Help organise and file documentation such as:
      • Quotations
      • Delivery orders
      • Invoices
      • Product reference images

  5. General Merchandise & Shop Support
    • Support other merchandise-related tasks as needed, such as:
      • Preparing simple summaries for meetings
      • Assisting during minor setup or merchandise-related activities
      • Observing and documenting merchandise display and sales flow (for learning purposes)
      • Gain exposure to how retail merchandise contributes to the overall gallery visitor experience

  6. Design & Branding Research Support
    • Conduct basic research on:
      • Merchandise design ideas
      • Trends in art museum and gallery retail products
      • Comparable merchandise from local and international galleries
    • Assist in compiling references, mood boards, or visual examples that:
      • Align with the GALERI’s branding and visual identity
      • Reflect the gallery's values, themes, or current exhibitions
    • Support the supervisor by providing research inputs for internal discussions on merchandise design direction
