Job Description

Department : IT Project Management Office | Location : Merl | Contract : Internship & Master's or Bachelor's thesis

Topic : Feasibility Study and Requirements Specification for Selecting a Project and Portfolio Management Tool

The objective is to conduct a feasibility study for the introduction of a suitable PPM tool. A complete requirements specification will be prepared on the basis of a systematic requirements analysis. Building on this work, the student will develop a transparent approach for screening the market and evaluating potential solutions and, if the available timeframe permits, apply parts of the approach in practice.

Your tasks

Academic and Methodological Foundations

  • Review suitable methods for requirements engineering, feasibility analysis and software selection
  • Select and justify an approach for interviews, workshops, prioritisation and evaluation
  • Define quality criteria for complete, unambiguous, testable and traceable requirements

Analysis of the Current Situation

  • Examine the current PMO, project and portfolio management processes and the systems and data sources in use
  • Identify weaknesses, manual handovers, duplicated work and information needs
  • Define the scope of the study and the relevant user groups

Stakeholder and Requirements Analysis

  • Identify and involve the relevant departments and roles in a structured manner
  • Conduct and evaluate interviews and workshops
  • Gather functional, non-functional, technical and organisational requirements
  • Prioritise, consolidate and validate the requirements with the responsible stakeholders

Preparation of the Requirements Specification

  • Transfer the results into a version-controlled requirements catalogue with unique references
  • Describe the target state, scope, processes, data, interfaces, roles, operating model and constraints
  • Define measurable evaluation criteria and suitable acceptance criteria
  • Prepare a formally structured and print-ready requirements specification as a Word and PDF document and, if required, as a printed version

Market Analysis and Selection Concept

  • Research suitable tool categories and suppliers without anticipating the later procurement decision
  • Develop a weighted evaluation model based on the prioritised requirements
  • Design a transparent selection process, including roles, decision stages, supplier demonstrations and a potential proof of concept
  • Prepare a longlist or shortlist and, if organisationally possible, support the practical evaluation

Assessment and Recommendation

  • Assess organisational, technical and economic feasibility
  • Present risks, dependencies, implementation effort and outstanding decisions
  • Derive a reasoned recommendation for the next steps

Your Profile

  • Studies in Business Information Systems, Computer Science, Industrial Engineering, Business Administration, Project Management or a comparable field
  • Knowledge of or strong interest in requirements engineering, business process analysis, project management or software selection
  • Ability to work academically and document methods and results in a transparent manner
  • Confidence in interviews and workshops and an interest in cross-departmental collaboration
  • Strong analytical and conceptual skills and a structured, independent approach
  • Good knowledge in German and English; French is an advantage
