Job Description

Kendall Auto Group is one of the largest family owned and operated dealers in the Pacific Northwest and premier employer in the Treasure Valley. We are seeking a highly organized and customer-focused Internet Appointment Coordinator to support our dealership's Business Development Center and Sales teams.

This role serves as the first point of contact for many customers, managing incoming online leads and phone inquiries, with the primary goal of guiding customers to scheduled showroom appointments or facilitating a smooth handoff to a salesperson when appropriate.

This position is ideal for someone with strong administrative skills, excellent communication ability, and a passion for customer service. Starting pay is to be determined based on qualifications and experience.

Key Responsibilities

Lead Management & Appointment Setting

  • Respond promptly to incoming internet leads via phone, text, and email
  • Engage customers to understand needs and move them toward a scheduled dealership visit
  • Set, confirm, and track appointments for the sales team using dealership CRM systems
  • Ensure timely and professional follow-up until an appointment is scheduled or transferred to a salesperson for direct follow-up
  • Distribute confirmed appointments to sales staff on a structured rotation

Inbound Customer Communication

  • Answer inbound phone calls related to sales inquiries
  • Provide helpful information while focusing on scheduling appointments
  • Maintain a professional, friendly tone that reflects the dealership’s brand and customer experience standards

Administrative Support

  • Assist the Business Development Manager with communication campaigns, follow-ups, and administrative tasks
  • Maintain accurate lead records and communication logs
  • Support dealership marketing and customer outreach efforts as needed

Additional Expectations

  • Flexibility to assist with additional administrative or business development duties as needed
  • Commitment to delivering a high-quality customer experience at every interaction

Requirements

  • Strong organizational and administrative skills
  • Excellent written and verbal communication skills
  • Professional phone presence and customer-service mindset
  • Ability to multitask in a fast-paced environment
  • Basic computer proficiency and comfort with learning CRM system

Preferred

  • Automotive dealership experience or sales background
  • Customer engagement experience
  • Experience in internet sales, BDC, customer service, or appointment coordination
  • Familiarity with CRM software and digital lead management
