Job Description
Reporting to the Manager, Corporate Communications, the Internal Communications Associate assists with the Port's internal communications. This role helps support an inclusive and equitable environment by defining and expressing the organization's voice, creating and supporting opportunities for staff engagement, and developing content for different platforms and internal audiences, including internal news on a SharePoint intranet site, internal emails, employee meetings, presentations, publications for internal chat networks, etc. The position requires experience and passion for assisting with the development, design and implementation of strategic staff communication, content strategies, and expertise in creating a two-way communication flow and maximizing staff engagement.
POSITION ACCOUNTABILITIES
- Develops, implements, maintains, and monitors all internal systems and processes to ensure that employee communications are planned, coordinated, and delivered effectively.
- Ensures PRPA's internal communications objectives are met by supporting the planning and implementation of the internal communications strategy.
- Implements the internal communications strategy using the organization's platforms including the internal website, town hall meetings, newsletters, staff events, and presentations.
- Researches and leads the development of compelling content for the internal website, newsletters, presentations, brochures, and other port internal communication assets to increase employee engagement.
- Ensures all communications reach relevant internal stakeholders in a time-efficient manner.
- Coordinates the development and preparation of presentation materials.
- Assists with the organization, coordination, and execution of PRPA special events.
- Collaborates with different departments on the development and execution of communication messaging.
- Assists in the development and maintenance of an integrated internal communications content calendar.
- Coordinates with graphic designers, videographers, writers, and other communication agencies where necessary.
- Leverages measurement tools to provide KPI reports, and analytics insights, while identifying ways to improve metrics through testing and new initiatives.
- Provides photography and videography for PRPA staff events.
- Provides basic graphic design of posters, invites, and presentation slides.
- Assists with maintenance and management of the Digital Asset Management System and media monitoring service.
- General support for corporate communications team when needed and other duties as assigned.
WORKING CONDITIONS
- Works predominantly in an office environment.
- Regular, full-time position (37.5 hours per week). Regular working hours are Monday to Friday, 8:00 AM to 4:30 PM, with 1 hour lunch break (unpaid).
- Some work outside of regular office hours may be required.
JOB SPECIFICATIONS
Formal Education
- Post-Secondary Diploma in Communications, Journalism, Marketing, Commerce or Commercial Art and Design.
- An undergraduate degree is an asset.
Related Experience
- Two to three years' related work experience.
Other Requirements
- Experience in a role responsible for supporting internal communications at a corporate level for audiences of 100+ employees.
- Excellent verbal and written communications skills, including editing.
- Demonstrated experience in photography, photo editing, and video production.
- Solid time management and prioritization skills, with the ability to juggle multiple and sometimes competing priorities simultaneously. Highly organized and detail-orientated.
- Must be willing to learn, is a team player and deadline driven.
- Strong proficiency using a suite of applications, including Microsoft SharePoint, Teams, Word, Powerpoint and Excel; Proficiency with graphic design software such as Adobe InDesign, Illustrator, or Photoshop would be an asset.
- Knowledge and experience working with of social media accounts, platform management and digital marketing tools, in particular Meltwater, WordPress, Facebook, Twitter, Instagram, Linkedln, YouTube, Vimeo, Google Analytics, Google Ads, and content management systems and processes.
- Recommends, establishes and helps to maintain the integrity of the organization's communications standards. Collaborates, supports and shares experience and best practices with the communications team and department members.
- Contributes positively and enthusiastically to the goals of the organization and the communications team.
- Adept at the collection and use of statistical data.
- Creative and intuitive thinker, enthusiastic, self-motivated individual who can work independently as well as be a valuable team player.
- Videography and post-production editing skills are an asset.
- Able to obtain security clearance under Transport Canada's Security Clearance Program.
- Bilingualism (English and French) is an asset.
The base salary range for this role is $77,689 - $97,112. This position is eligible for a performance-based variable incentive targeted at 10% of the base salary.
