About the team you are joining

You will report to the Head of Central
Sales, who leads IATA’s Events Sponsorship and Advertising (SPEX) sales
activities. In this role, you will provide essential support to the SPEX sales
staff by managing the back-end processes that ensure the sales function
operates efficiently.

You will play a key role in processing
sponsorship and advertising agreements, as well as handling administrative
tasks, allowing the Sales team to focus on client engagement and revenue
generation. You will collaborate closely with internal teams, including
Product, Sales, the Contracting Office, and Production, to ensure smooth
execution of sales operations.

The role requires the ability to learn
and use key corporate systems, including ERP (SAP), CRM (Salesforce), and the
IATA Legal Portal. It offers an excellent opportunity to gain hands-on
experience with the operational processes that support a global sales
organization.

What your day would be like

As a Sales Operations Intern, your
primary responsibility is to support the SPEX sales team by managing
back-office processes and administrative tasks. You will act as the bridge
between Sales, internal fulfillment teams, and corporate systems, ensuring that
all operational aspects of sales run efficiently.
You will:

  • Lead the end-to-end administrative process for advertising and sponsorship contracts
    Manage Order-to-Cash (OtC) activities, including contract and order form processing and approvals
  • Review and submit SPEX order forms to the contracting office in line with agreed templates and processes
  • Handle billing and invoicing, and follow up with customers to ensure timely payment
    Track workflows in SAP to ensure timely completion of tasks
  • Assist in campaign preparation for each event, including creating opportunities in Salesforce
  • Conduct market research in Salesforce to identify existing contacts that may represent relevant leads for upcoming events
  • Document processes, share best practices, and contribute to operational efficiency improvements
  • Assist with ad hoc operational projects as requested by the Head of Central Sales
    Take the lead on advertising renewals and support the Sales team in identifying new advertising opportunities
  • Coordinate with Sales and Production teams to ensure advertising specifications and materials are received on time and in the correct format
  • Provide
    day-to-day operational support to the Sales team
  • Ensure
    contracts and agreements are accurately processed and recorded
  • Follow
    up with customers to ensure they receive their invoices and that invoices
    are paid on time
  • Work
    with internal teams to resolve operational issues
  • Contribute
    to process improvements and operational efficiency initiatives
  • Maintain
    clear communication with all relevant stakeholders to ensure smooth
    workflow

  • You are currently pursuing or have recently completed a degree in Business Administration, Sales, Marketing, Finance, or a related field.
  • You are highly organized, detail-oriented, and able to manage multiple tasks while meeting deadlines.
  • You have strong administrative and coordination skills, with a commitment to accuracy and quality.
  • You are comfortable working with data and business systems and are eager to learn tools such as Salesforce, SAP, and other corporate applications.
  • You possess excellent written and verbal communication skills and enjoy collaborating with stakeholders across different teams.
  • You are proactive, resourceful, and take ownership of tasks from initiation to completion.
    You have strong problem-solving skills and enjoy finding ways to improve processes and operational efficiency.
  • You are customer-focused and understand the importance of delivering a positive experience to internal and external stakeholders.
  • You have a good working knowledge of Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • You are interested in sales operations, commercial processes, and gaining experience within a global organization.
  • Previous internship or administrative experience in sales support, operations, customer service, or a related area would be an advantage, but is not required.
  • You are fluent in English; additional languages would be considered an asset.
