Reporting to the Senior
Manager Administration, you will support reception, conference centre, and
administrative operations within the Montreal office. The role involves assisting
with conference room reservations, handling telephone inquiries, assisting with
catering arrangements, and supporting a variety of administrative and
operational activities.
Candidates
applying for this position must have graduated within the last 12 months, be
available to start promptly, and be able to work full-time (40 hours per week)
for a minimum of six months. Due to the nature of the role, on-site presence is
required Monday to Friday.
Provide customer service to employees, visitors, and clients in a reception environment.
Respond to telephone inquiries and direct calls appropriately.
Assist with conference room reservations and catering requests using the Event Management System (EMS).
Support conference centre operations, including meeting room logistics and audiovisual requirements.
Assist with the preparation, setup, and servicing of catering requests in conference rooms and employee spaces.
Compile operational data and statistics for reporting purposes.
Provide administrative support for office services, events, and workplace projects, as required.
Contribute to the day-to-day activities of the Administration team.
You have excellent verbal and written communication skills in both English and French.
You are a recent university graduate (within the last 12 months).
You are organized, detail-oriented, and able to manage multiple tasks in a dynamic environment.
You work effectively as part of a team and collaborate well with others.
You demonstrate professionalism, initiative, and sound judgment.
You have proficiency with Microsoft 365 applications, particularly Excel, PowerPoint, Teams, and Outlook.
Experience with data analysis and reporting tools, such as Power BI, and exposure to automation solutions (e.g., RPA) would be considered an asset.
