Roche Services & Solutions Riga Office Executive team is looking for the Intern - Office Assistant. The Executive team is dedicated to ensuring the smooth, daily functioning of our site. We manage administrative tasks, support local leadership, and maintain a professional, welcoming environment for all employees, visitors, and vendors. Our team is the "face" of the office, ensuring that the facility operates efficiently to support our business goals.
This internship position is located inRiga, Latvia, on-site.
We are looking for an organized, proactive individual who is ready to kickstart their career in office management.
You will be able to gain suitable experience and skills in order to take ownership of administrative projects in a global corporate environment.
As an Office Executive Assistant Intern, you will work closely with the Senior Office Executive to learn the ropes of corporate office management. Your main responsibilities will include:
Office Operations Support:Assisting with daily office management, including monitoring office supplies, managing equipment inventory, and coordinating with Facility officer.
Executive Administrative Assistance:Supporting leadership with calendar management, organizing internal correspondence, and preparing materials for meetings, organizing onboarding meetings and backup during onboarding where it is relevant with knowledge transfer.
Visitor & Guest Relations:Greeting visitors and vendors, ensuring a high standard of customer service, and maintaining a professional and welcoming reception environment.
Documentation & Record Keeping:Assisting in the maintenance of organized filing systems, office databases, and general administrative documentation to ensure operational efficiency.
Event & Logistics Coordination:Helping to organize company smaller and bigger events, team-building activities, and meetings, including managing logistics, room bookings, and catering requirements.
Who you are
You have ongoing studies at any University/college or You are a fresh grad in Business Administration, Operational Execution, Communication, or a related field.
You are available at least 25-30 hours per week
You possess strong attention to detail and are committed to maintaining accuracy.
You are proficient in office management software, including the MS Office Suite and Google Workspace.
You excel in organizational and multitasking skills, effectively prioritizing tasks in dynamic environments.
You uphold a high level of integrity and handle sensitive office matters with strict confidentiality.
You demonstrate excellent written and verbal communication skills in Latvian and possess C1-level proficiency in English
