Intellectual Property Legal Assistant (US Support)

Mexico City, Hybrid

As an Intellectual Property (IP) Legal Assistant supporting our US-based IP team, you will be trusted to manage IP-related operations, filings, and deadlines aligned with global IP regulations, while working from Mexico in a global environment.

Key Responsibilities

• Manage and track intellectual property deadlines, ensuring timely and accurate execution of filings and related activities
• Prepare and process official IP documentation and forms in line with established procedures
• Review and proofread legal documents to ensure accuracy, formatting, and compliance before submission
• Support attorneys by executing IP-related administrative tasks with limited supervision
• Maintain and update IP records, ensuring completeness and accuracy of application files
• Coordinate communications with internal teams, external agents, and stakeholders as required
• Identify data inconsistencies and report issues, following defined guidelines and procedures
• Support process documentation and contribute to continuous improvement initiatives
• Assist with billing and administrative processes, including invoice tracking and vendor coordination
• Provide general operational support to the IP and Legal team as needed

What You’ll Bring to Alcon

• Bachelor's degree in any related field
• Experience of 3+ years in a deadline-driven role where accuracy of deliverables is mission-critical
• Expertise in MS Excel: creating and combining spreadsheets, using accounting formulas and VLOOKUP
• Expertise in MS Word: drafting, formatting, and creating new documents; exporting to Adobe PDF
• Excellent writing skills, including demonstrated ability to proofread, identify, and resolve grammatical and formatting errors
• Demonstrated ability to quickly learn and navigate new system platforms
• Work history in the legal field or knowledge of intellectual property lifecycle is desirable
• Familiarity with accounting and finance terminology is desirable
