Job Description

AOSN (Animal Outpatient Specialty Network) is the nation's first network of specialist-led, outpatient-only veterinary hospitals. We bring together top board-certified specialists across dermatology, dentistry, ophthalmology, and more, giving them the support, infrastructure, and community to practice medicine at the highest level.

The Integration & Training Manager is responsible for leading the operational, systems, and workflow integration of newly acquired veterinary clinics into the AOSN enterprise immediately following acquisition close. This role serves as the primary integration leader, ensuring a seamless transition of people, processes, technology, and operational standards while minimizing disruption to patient care, clients, and team members.

The Integration & Training Manager must possess deep expertise across enterprise systems, including Practice Information Management Systems (PIMS), Human Resource Information Systems (HRIS), merchant services platforms, payroll, scheduling, reporting tools, and other core business applications. This individual will also serve as a subject matter expert on AOSN workflows, policies, procedures, and standard operating practices, providing training and ongoing support to both newly acquired and established locations.

In addition to onboarding and integration responsibilities, the Integration & Training Manager will develop and maintain training materials, create system documentation, support continuing education initiatives, and identify opportunities for operational improvement across the organization.

This position is 100% remote, with frequent travel (up to 100% at times) to practice locations for acquisition integrations, company meetings, and other projects. Home office needs to be a compatible working environment and working hours while at home will be 8a-4p or 9a-5p based on your home time zone, unless other arrangements have been approved. Working hours will widely vary while traveling.

Requirements

Acquisition Integration Leadership

  • Lead the post-acquisition integration process for newly acquired veterinary hospitals.
  • Develop and execute integration plans, timelines, and implementation schedules.
  • Coordinate cross-functional activities with Operations, Human Resources, Finance, IT, Marketing, and Clinical Leadership teams.
  • Serve as the primary point of contact for newly acquired clinics throughout the integration process.
  • Monitor integration milestones and proactively address challenges to ensure successful transitions.

Systems Implementation & Training

  • Support & Train enterprise platforms including:
    • Practice Information Management Systems (PIMS)
    • Human Resource Information Systems (HRIS)
    • Merchant Services and Payment Platforms
    • Scheduling and Workforce Management Systems
    • Reporting and Business Intelligence Tools
    • Additional enterprise applications as required
  • Train clinic leadership and team members on all enterprise systems.
  • Provide hands-on support during system conversions and go-live events.
  • Ensure compliance with organizational standards and best practices.

Workflow & SOP Management

  • Maintain expert-level knowledge of all AOSN workflows, policies, procedures, and standard operating practices.
  • Train new clinics on operational workflows and performance expectations.
  • Assess existing clinic processes and recommend improvements to align with enterprise standards.
  • Collaborate with operational leaders to refine and standardize procedures across the organization.

Training Content Development

  • Create, update, and maintain training materials, user guides, SOPs, process maps, videos, and learning resources.
  • Develop scalable onboarding programs for new team members and clinic leaders.
  • Establish documentation standards and knowledge management practices.
  • Continuously improve training content based on feedback and evolving business needs.

Continuing Education & Ongoing Support

  • Lead continuing education initiatives for established clinics and team members.
  • Identify training gaps and implement development programs to improve adoption and performance.
  • Conduct refresher training sessions and system optimization workshops.
  • Serve as a trusted resource for operational and systems-related questions across the organization.

Project Management & Continuous Improvement

  • Manage multiple integration projects simultaneously while maintaining timelines and quality standards.
  • Track project progress, risks, and outcomes.
  • Analyze integration performance metrics and identify opportunities for improvement.
  • Partner with leadership to enhance integration processes and accelerate organizational scalability.

Qualifications

Required

  • Bachelor's degree in Business Administration, Healthcare Administration, Information Systems, Project Management, or related field; equivalent experience considered.
  • 5+ years of experience in systems implementation, operations management, training, project management, or acquisition integrations.
  • Demonstrated expertise with enterprise software platforms, including PIMS, HRIS, payroll, merchant services, and related business systems.
  • Experience developing training programs, SOPs, and operational documentation.
  • Strong project management and organizational skills.
  • Excellent presentation, communication, and facilitation abilities.
  • Ability to travel frequently to support integrations and training initiatives.

Preferred

  • Background in veterinary practice operations or multi-site healthcare/services networks.
  • Veterinary, healthcare, multi-site retail, or service-industry experience.
  • Experience supporting mergers and acquisitions.
  • Formal project management training or certification (PMP, CAPM, Lean, Six Sigma, etc.).
  • Experience with learning management systems (LMS) and instructional design.
