Job Description

Community Care Physicians Integrated Behavioral Health is hiring a full-time Patient Support Specialist to join their team!

This is a 40 hour work week, Monday-Friday with 8 hour shifts TBD between the hours of 7:30am-4:30pm

Essential Functions include, but are not limited to:

  • Greet patients in friendly and professional manner and complete check-in/check-out process.
  • Process incoming telephone calls/messages based on office policy and procedure.
  • Obtain patient signature on appropriate waiver(s) according to insurance requirements.
  • Communicate to clinical staff that patient has arrived and registration process is complete per practice policy. Notify staff of cancellations or late arrivals.
  • Collect payments and/or addresses patient's outstanding balances according to office policy and procedure.
  • Obtain necessary documentation from referring physician according to insurance requirements.
  • Organize and monitor provider's daily schedule.
  • Maintain timely patient flow.
  • Prepare patient for visit as appropriate, based on office/provider requirements.
  • Prepare charts for future appointments by following office policy and procedure.
  • Ensure patient encounter form is accurate and complete.
  • Follow appropriate security procedures for opening and closing of office.
  • Keep up to date and informed on company/office policies and procedures through staff meetings, correspondence, etc.
  • Verify patient insurance coverage/demographic information at each visit and update when necessary.
  • Must be aware of patient confidentiality and bring any concerns or complaints to the Director and Site Coordinator.
  • Adhere to infection control/safety guidelines, and confidentiality policies.
  • Balance financial transactions at the end of the morning, completing daily reconciliation at the end of the day, filling out deposit slips.
  • Management of incoming and outgoing referral requests through Allscripts, tasks/messaging, and patient/provider requests in a timely manner.
  • Complete and schedule provider orders for outpatient behavioral health related services.
  • Obtain prior authorization for such testing when required.
  • Complete emergency/urgent patient referrals at the time of the provider’s request.
  • Contact patients and inform them regarding their referral information, including: date/time, specialist or facility name/address/phone number, and any instructions they may need to know prior to their appointment.
  • Assist patients with questions regarding insurance coverage, referrals needed, and information related to specialists.
  • Manage outgoing medical records requests by following office protocol to ensure strict HIPAA compliance and quality patient care.

Additional Duties:

  • Write letters of medical necessity for out-of-network referrals and special services, as needed, and submit to insurance company for approval.
  • Fax all written referrals/prescriptions, pertinent medical records, and any other requested information to the specialist, to ensure quality patient care.
  • Assist in completion of patient forms for school, work, disability, camp, etc.
  • Cancel, reschedule and confirm patient appointments when necessary
  • Direct or address requests of walk-in inquiries as appropriate.
  • Process incoming/outgoing correspondence and perform necessary follow up action.
  • Index and categorize faxes and scanned documents for EMR.
  • Other duties may be assigned to meet business needs.

Competencies:

  • Knowledge of medical and behavioral health terminology and office procedures preferred.
  • Ability to use interpersonal skills to establish/maintain cooperative relationships with patients, family members, physicians, providers, managers, co-workers and external customers.
  • Maintain strictest confidentiality and discretion.
  • Working knowledge of Microsoft products preferred.
  • Ability to read, understand and follow oral written instructions.
  • Ability to communicate clearly and concisely.
  • Ability to multitask in a fast paced environment.

Compensation: $18.00 - $24.00 per hour

CCP salary ranges are designed to be competitive with room for professional and financial growth. Individual compensation is based on several factors unique to each candidate, such as work experience, qualifications, and skills. Some roles may also be eligible for overtime pay.

Qualifications

  • High school graduate or equivalent with additional education desirable.
  • Previous clerical experience in a medical or behavioral health practice preferred.
  • Strong computer skills.
  • Knowledge of medical terminology and office procedures preferred.
