Join our Conflicts & Intake Team as an Intake Specialist located in our WarsawCenter of Excellence office (remote)
This position’s primary responsibility is regarding the data entry of information into the Conflicts and Accounting System software.This individual will also assist on other projects as assigned to include: database clean-up, closing of new clients, and responding to inquiries from clients (namely from secretaries).This role will report to the Intake Manager.
Key Responsibilities
Assisting with the administrative tasks associated with opening new matters in the Intapp system
Ensuring accurate and timely completion of assigned tasks
Assisting with monitoring back office processes in terms of opening of new matters in Intapp and other databases as required
Assigning matter numbers to various matters including multi-matter requests, notarial requests and legal matter requests
Checking matter number lists for correct matter number assignment depending on matter type
Performing quality control on request, finding missing information on matter names, parties in a matter, billing information, etc.
Assisting with other intake projects and tasks as assigned
Qualifications
Be a Polish citizen living in Poland or a foreign national living in Poland with the right to work in Poland without a work permit
Have an excellent command of both written and spoken English (working in an English-speaking environment only)
Have at least 2 years of experience as an assistant or legal assistant, preferably in a law firm environment or other professional services organization
Provide outstanding client service, meet high quality standards for services and meet or exceed client expectations. Proactive in seeking innovative ways in which to help others
Recognize confidential, sensitive, and proprietary information and maintain such information as confidential
Ability to establish and maintain effective working relationships with all levels of the organization and collaborate well in a team
Have strong analytical, problem-solving, communication and team-work skills
High attention to detail, outstanding organizational skills and the ability to manage time effectively
