Job Description

Under the direct supervision of the OHU Global Shared Services Centre, in close coordination with the Senior Administrative Officer, and in consultation with the Chief of the Occupational Health Unit (OHU Geneva) and the Director of Global Shared Services.

  • Learn to use EarthMed (Occupational Health System) and Wave effectively by supporting day-to day OHU operations, with the goal of becoming proficient in processing medical records, managing staff health documentation, and contributing to occupational health workflows.

  • Support the processing of accumulated Certified Sick Leave (CSL) requests, ensuring accurate documentation and timely updates in EarthMed and WAVE.

  • Assist in the review, validation, and processing of sick leave certificates in accordance with OHU procedures and IN 151 rev. 3, while upholding strict medical confidentiality and ensuring accurate, timely coordination with relevant units.

  • Assist in the uploading of current vaccinations of staff candidates and those assigned to a Travel Duty Assignment.

Upon completion, the intern will be able to:

  • Demonstrate proficiency in the use of EarthMed, the Occupational Health System (OHS), for

    documentation and workflow support.

  • Understand the end-to-end process of certified sick leave management, including document

    validation, system uploading, and coordination with HR.

  • Apply administrative and organizational skills in a medical support setting, including data

    handling, document management, and inter-unit coordination.

  • Uphold confidentiality and professionalism in handling sensitive health information.

  • Maneuver in Earthmed to the appropriate vaccination and travel Duty clearance modules

Required Qualifications & Experience:

Education:

  • Undergraduates finishing their last year from any International Studies, Medical Sciences or Business-related courses with a school requirement to undergo an internship or On the Job Training, or
  • Recent graduates from an accredited academic institution are eligible to apply. The role is open to graduates from diverse academic disciplines, though backgrounds in international studies, business administration, public health, or related fields are considered an advantage.

Experience:

  • Prior internship or volunteer experience in an administrative, HR, or healthcare-related setting (preferred but not required).
  • Familiarity with document handling, data entry, or basic health records management.
  • Experience supporting occupational health or HR initiatives is an advantage.

Skills:

  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and handle sensitive health information with discretion.
  • Exposure to administrative tools such as Oracle, with willingness to learn specialized systems like EarthMed.
  • Good communication and interpersonal skills, with a collaborative and proactive work ethic.

Languages

For this internship, Fluency in English, both written and oral.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.

Notes

Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by their university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.

IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the internship. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
