Posting Title: Insurance Coordinator
Reports To: Director, Corporate Risk & Insurance
Location: San Jose, CA
Salary Range: $34.00/hour to $38.00/hour

THE FINANCE TEAM
Our projects may be complex, but our approach is simple: we build great things and we do it with great people. The Finance team at Cupertino Electric, Inc. (CEI) provides employees, stakeholders and customers with timely and accurate financial information. The Finance Department is comprised of eight teams: Accounts Payable, Payroll, Billing, GL, FP&A, Tax, Risk Management and Project Accounting that work closely together to ensure compliance and the financial well-being of the company.

ABOUT THE ROLE
The Insurance Coordinator supports insurance and risk management practices with a primary focus on controlled insurance program participation, subcontractor insurance compliance, and surety program administration. This role ensures that company operations are adequately insured and promotes a culture of risk awareness and compliance. The Insurance Coordinator works closely with project teams, legal teams, subcontractors, and insurance representatives to support insurance and surety compliance across all phases of construction.

Controlled Insurance Programs (CIP)

  • Comply with CIP enrollment and close out requirements
  • Assist with monthly payroll reporting requirements
  • Monitor insurance cost on gross bid programs
  • Maintain CIP program database (JDE)
  • Records maintenance including
    • Enrollment documents
    • CIP insurance policies
    • CIP insurance certificates
    • Subcontractor files

Subcontractor Insurance Compliance

  • Primary liaison with 3rd party certificate compliance service
    • Coordinate subcontractor setup and certificate submission
    • Monitor compliance
    • Periodic audit/update of subcontractor roster
  • Subcontract support
    • Confirm subcontract limits comply with customer requirements
    • Facilitate insurance compliance for release of subcontract

Surety Bond Program

  • Coordinate bond submissions for contract surety and commercial surety bonds
  • Process bond riders and consents of surety
  • Coordinate bond delivery with internal stakeholders
  • Bond closure
  • Process approved invoices
  • Maintain Surety Bond database (JDE)
  • Records maintenance

Interdepartmental Collaboration

  • Insurance and claim related matters
  • Enterprise Risk Management program
  • Other assignments as determined by Director

Cross-functional Collaboration

  • Collaborate with Operations and corporate support groups to streamline communication and processes

ABOUT YOU

  • Moderate understanding of commercial insurance principles and suretyship
  • Organized, detail-oriented and proficient in developing processes and procedures to support and streamline workflows.
  • Capable of managing multiple priorities and deadlines.
  • Excellent communication skills with ability to build relationships.
  • Strong influencing and interpersonal skills.
  • Proficient with risk management systems, Microsoft Office 365, and insurance certificate compliance systems/tools.

MINIMUM QUALIFICATIONS
Any combination of education and experience that would likely provide the required knowledge, skills and abilities as well as possession of any required licenses or certifications is qualifying.

Education and Experience: Typically requires a minimum of 3+ years of experience in commercial insurance, preferably in the construction industry with an Associate’s degree in Insurance, Construction Management, Business, Finance, or related field, or equivalent professional designation.

Certification: Professional certification (e.g., CRIS, CIC, CRM, ARM, CPCU) preferred.
