About the Role

Reporting to the Director of Information Services, the Information Services Executive is expected to provide clerical and administrative support to the Information Services team functions in all the offices of the Maples Group to ensure effective and efficient operation of the department.

Key responsibilities include

  • Assist the Director with acquisitions, accounts and departmental spending for specified offices
  • Process the receipt and distribution of hard copy library items and manage the payment of relevant invoices under the supervision of the Director
  • Assist the Director and Information Managers with the administration of online subscription resources
  • Monitor and account for Information Services credit card expenditure
  • Assist in the budget process by maintaining an ongoing record of department spending and producing estimated projected costs
  • Produce daily press updates as well as practice-specific and client updates
  • Update our correspondent lawyers database
  • Profile and input know-how onto the firm's know-how system
  • Organize and coordinate meetings and take minutes where required
  • Undertake the update of all Cayman based legal texts which are of looseleaf format
  • Any other relevant duties or projects as specified by the Director of Information Services

EXPERIENCE

What You Bring

In addition to indisputably high ethical standards and autonomy, the ideal candidate possesses:

  • 5 years' prior secretarial experience in a professional office environment
  • Effective prioritisation and organisational skills, experience with drafting legal documents, diary management, meeting scheduling, coordinating travel arrangements, taking, typing and distributing accurate minutes
  • Ability to handle a large and varied workload, knowledge of Microsoft Office (including Word, Excel and PowerPoint) and Adobe are essential. Knowledge of iManage would be an advantage
  • Familiarity with using a library management system would be useful
  • Excellent written and verbal communication skills
  • An ability to work under pressure with occasional requirement to work outside of contracted work hours is a necessity
  • Ability to work collaboratively as part of a global team as well as using own initiative to work independently where appropriate
